Role Description The Regulatory Affairs Specialist is responsible for ensuring regulatory compliance of food products throughout the product lifecycle, from concept and development through commercialization and market launch. This role supports regulatory initiatives by reviewing product formulations, ingredients, labels, and technical documentation to ensure compliance with applicable food regulations and customer requirements. The position works closely with Research & Development, Commercialization, Quality Assurance, Sales, Operations, and other cross-functional teams to facilitate timely product launches while maintaining regulatory compliance. The Regulatory Affairs Specialist also assists the Regulatory Affairs Manager with regulatory projects, compliance activities, and other departmental responsibilities as required.
Key responsibilities and accountabilities:
· Work in TraceGains, Celtrade Supplier Management tool, to keep it up-to-date and to collate Celtrade documents for customers;
· Review and approve raw materials from a Regulatory Compliance perspective;
· Support R&D Team during ideation and bidding, review and approve product claims.
· Work in Genesis database to complete ingredient information; generate label reports ensuring high level of accuracy and maintain Genesis database information up-to date;
· Review and approve artwork / food label making sure all label elements are compliant with government regulations for Canada and U.S. Follow up with printers and customers on printer proofs;
· Provide Regulatory input in customer portals and customer forms in a timely manner within tight timelines;
· Complete and submit documentation for applicable product certification (e.g., Organic, Plant-Based, Vegan);
· Complete internal Finished Product Specification (FPS);
· Assist in the plant preparation for all audits when regulatory documentation is required;
· Keep learning and abreast of the latest developments in Canadian and U.S. food regulations.
· Perform other related duties and responsibilities as assigned.
Qualifications
- Minimum 2 years of experience in the field of regulatory compliance and associated labelling requirements in the food industry.
- Experience with regulatory compliance and regulatory requirements for food products and labeling.
- Established knowledge of applicable Canadian and U.S. government food laws and regulations including provisions on ingredients, claims and nutritional labelling;
- Strong desire and ability to always learn about changing regulatory environment;
- Post-secondary education in food science, regulatory affairs, chemistry, microbiology, or a related discipline.
- Knowledge of Canadian food regulations (e.g., CFIA, Health Canada) and familiarity with international standards.
- Strong analytical, organizational, and time-management skills, with high attention to detail and accuracy.
- Effective written and verbal communication skills, and ability to work collaboratively in a team-based environment.
- Proficiency with MS Office and documentation management tools; prior experience in a food manufacturing environment is an asset.
