Starting Salary Range: $65,000 annually, with consideration based on experience and qualifications.

What You'll Be Doing:
Executive Support & Coordination
- Manage daily workflow, priorities, and follow‑ups for Executives.
- Coordinate communication between departments
- Prepare agendas, gather materials, and capture action items for meetings.
- Consolidate updates, issues, and risks into clear summaries for leadership review.
- Maintain Executive calendars, schedule meetings, and coordinate cross‑functional sessions.
Acts as a Strategic Gatekeeper
- Filters information requiring Executive attention
- Escalates urgent matters appropriately
- Handles routine inquiries independently
- Reduces distractions and operational “noise” to protect Executive focus
Information & Communication Management
- Ensure timely communication flow between Executives and department leaders.
- Maintain trackers, logs, and documentation to support decision‑making.
- Prepare reports, presentations, and briefing notes as required.
Operational Support Across All Business Functions
- Support Production with issue tracking, follow‑ups, and corrective action coordination. Operations owns all tracking and corrective action processes; the EA ensures follow‑ups, clarity, and accountability on behalf of the EVP. This includes confirming ownership, monitoring progress, and escalating unresolved items appropriately.
- Coordinate Maintenance scheduling, documentation, and communication. Maintenance owns all scheduling and technical documentation; the EA ensures commitments, timelines, and resolutions are followed through, documented, and communicated to the EVP as required.
Leadership Continuity & Issue Management
- Act as an operational buffer, managing tactical items so Executives can focus on strategic priorities.
- Identify issues requiring Executive attention and ensure timely resolution.
- Maintain workflows during leadership absences or peak operational periods.
- Handle confidential information with discretion and professionalism.
Other Duties
- Support Executive projects as assigned.
- Participate in cross‑functional initiatives and continuous improvement activities.

What We're Looking For:
- Post‑secondary education in Business Administration, Office Administration, or related field, considered an asset
- 3–5 years of Executive Assistant or coordination experience, preferably in manufacturing or food environments, considered an asset
- Experience supporting multiple leaders or departments is an asset.
- Strong understanding of organizational workflows and cross‑functional communication.
Bonus Points If You Have:
- Dessert Manufacturing Facility or Bakery experience.
- Familiarity with Lean tools and methods (e.g., value stream mapping, visual management, root cause problem-solving).
- Strong BRC (or similar GFSI) knowledge or experience.
- Strong knowledge of WHMIS, Chemical Handling, HACCP, GMP, OHSA and regulatory requirements.
