Reporting to the Manager of Enforcement Services, the OA3 is responsible for providing day-to-day Administrative support to the Enforcement branch of the Protective Services Division. This includes receiving complaints from the public, typing correspondence, maintaining various registers, and assisting with the smooth and effective operation of the department.
Responsibilities
Department Administration and Customer Service
- Perform telephone reception, direct phone calls, and relay messages regarding requests and complaints, promoting positive public relations within the Protective Services department and the City.
- Respond to general questions and complaints from the public related to regulatory bylaws, provincial statutes, and department operations.
- Provide quality service one-on-one, electronically, or in person, by maintaining a helpful attitude, listening carefully, and asking questions to ensure understanding and providing accurate, helpful information and responses.
- Register new complaints, assign investigations to officers, and respond to the front counter when necessary.
- Prepare agenda packages, type correspondence and meeting minutes, and compile statistical data and reports.
- Process the Municipal and Provincial Statute violation tickets including maintaining registers and compiling the associated Provincial Court documentation.
- Create, maintain, and update various databases as required by the program (complaints, Provincial tickets, Municipal tickets, found property, etc.).
- Perform filing duties related to Enforcement and Protective Services, and maintains the department’s records management program.
- Dispatch calls using various communication devices.
- Maintain knowledge of department processes and procedures and is able to access information and forms.
- Create, as required, and maintain enforcement-related databases MRF, and manage computer system backup processes.
- Compile and complete court documentation, prepare prosecutor information packages, and liaise with the Courthouse, Crown’s Office, and RCMP.
- Attend the Court for the first appearance as a liaison between the court and our department.
- Code and send invoices to management to sign.
- Send out Drivers Abstract requests for City of Wetaskiwin Employees and maintain a compiled list for when abstracts are to be requested.
- Organize Enforcement Services related events.
- Issue Taxi Licenses for the City of Wetaskiwin.
- Other duties as required.
Education, Qualifications, and Work Experience
- Post-secondary education (Certificate, Diploma in office administration).
- Working knowledge of Provincial databases, ROADS and JOIN would be an asset.
- Experience with MRF would be an asset.
- De-escalation training is an asset.
- Minimum 3 experience in a municipal organization or law enforcement agency.
- Must be able to obtain an enhanced security clearance with the RCMP.
Before commencing employment, the successful candidate must provide all necessary certifications and documentation, including but not limited to a driver's abstract and employment-related record checks.
Knowledge, Skills, and Abilities
- Knowledge and experience with municipal bylaws, regulations, policies, and procedures relating to municipal peace offers and bylaw officers.
- Ability to work independently and be self-directed.
- Competent computer skills including MS Office, Outlook, Publisher, Internet, Website management, and editing PDF(s).
- Analytical and detail-oriented.
- Ability to maintain personal and confidential information.
- Familiar with privacy legislation.
- Proficient in the use of computers including the MS Office Suite, databases social media, and publisher software including the ability to create databases and set search menus and input protocols.
- Ability to de-escalate situations, and remain calm when dealing with the public.
- Extensive knowledge of regulatory Bylaws and Provincial Statutes providing the ability to answer questions and deal with public concerns.
Physical Effort and Safety Commitment
As the successful applicant, you will be responsible to adhere to the policies, principals, and practices of OHS legislation, and the City's requirements, as these obligations pertain to this role.
This position is considered a light safety sensitive position which includes light effort including but not limited to, standing, walking, climbing, stairs, kneeling, manual dexterity, visual acuity, lifting up to 10 lbs.
