Position Description:
The Site Administrator (Administrative Assistant - Project) conducts daily administrative tasks and provides administrative support to a construction site project-based team.
This role will be based on the Sturgeon Data Center project site located just outside of Fort Saskatchewan, Alberta.
Essential Duties & Key Responsibilities:
- Provide professional customer service and positive interactions while providing administrative services to construction site project-based team.
- Manage day-to-day administrative tasks, including document preparation and distribution, digital file management, contact list updates, invoice processing, supply and business card ordering, and other general office support.
- Provide day-to-day administrative support to the Field Operations Manager / Teams.
- Maintain field staffing, manpower, and crew assignment records.
- Coordinate onboarding, transfers, and offboarding of field personnel.
- Track training, certifications, orientations, and other workforce requirements.
- Assist with timesheets, payroll documentation, expenses, and field personnel records.
- Coordinate meetings, schedules, travel, and field communications.
- Prepare and maintain reports, spreadsheets, correspondence, and operational documentation.
- Support mobilization and demobilization of field staff.
- Act as an administrative liaison between Field Operations, project teams, HR, payroll, and other departments under the direction of the Administrative Manager.
- Coordinate workstation and desk assignments for new and transferring Frost team members moving to site.
- Coordinate with IT, Facilities, and other support functions to ensure new field personnel have required equipment.
- Monitor and maintain site office supplies and stationery.
- Assist with field events, meetings, communications, and other site coordination activities as required.
- Maintain project calendars, contacts, organizational and seating charts, filing systems, and other project-specific administrative tools and resources.
- Coordinate project meetings and site logistics, including agendas, conference rooms, access and parking requirements, visitor protocols, and meeting minutes as needed.
- Prepare project correspondence, presentations, and other communications, and respond to general office inquiries with appropriate follow-up or escalation.
- Support project staff orientations and workplace transitions and assist with resolving or coordinating onsite administrative and technology-related needs.
- Foster positive, professional relationships with project teams, owners, Joint Venture Partners, vendors, and other stakeholders while supporting company culture, values, and DE&I initiatives.
- Identify opportunities to improve administrative processes and team effectiveness and support special projects and other duties as assigned.
Qualifications:
- High School Diploma or GED and minimum of 1 year of relevant administrative assistant experience in construction, or other related industry, required
- College degree and/or relevant administrative skills certification, a plus
- High degree of detail, accuracy, and organizational skills
- Maintain confidential information
- Work with some direction and oversight, and as part of team
- Approachable, proactive, positive, and professional attitude
- Professional verbal communication and written business communication skills
- Able to conduct research and proofread
- Exhibit active listening skills and follow through on commitments
- Good judgment to solve problems, escalate issues, and request prioritization of responsibilities
- Proficient computer and data entry skills, Microsoft suite of applications, collaborative meeting platforms, and general office equipment
- Commissioned Notary Public, a plus
