We are looking for an experienced and highly organized Operations Assistant to join our team on a fixed-term contract while we provide coverage during a team member’s leave of absence. This role will provide additional operational capacity during the leave period and work closely with our Chief Operating Officer to help keep priorities moving, coordinate day-to-day operational activities, and ensure our teams have the support they need. This is an excellent opportunity for someone who enjoys stepping into an established organization, learning quickly, bringing order to complexity, and becoming a trusted operational partner.
We are looking for an Operations Assistant whose role will consist of:
· Provide day-to-day administrative and operational support to the COO as well as the team.
· Help manage priorities, deadlines, follow-ups, meetings, and action items.
· Coordinate information and activities across departments to keep projects moving.
· Track outstanding commitments and proactively follow up with team members and external partners.
· Assist with operational projects, process improvements, documentation, and implementation.
· Prepare reports, spreadsheets, presentations, meeting materials, and other business documents.
· Organize information and maintain accurate records and documentation.
· Support vendor, partner, and service-provider coordination as required.
· Basic IT Support for the team
· Handle sensitive business and personnel information with a high degree of confidentiality and discretion.
· Provide additional operational and administrative support as priorities evolve.

· Have experience in operations, executive support, project coordination, administration, or a similar role.
· Are exceptionally organized and comfortable managing multiple priorities at once.

· Are comfortable following up, asking questions, and respectfully holding others accountable for deliverables.

· Enjoy identifying ways to improve processes rather than simply working around problems.
· Are comfortable working with technology and learning new systems quickly.
· Can work independently while also collaborating effectively with a highly engaged team.
Experience in a talent agency, events, hospitality, travel, professional services, or another deadline-driven service environment would be an asset, but it is not required.
Essential Technology:
· Experience as an administrator in Salesforce
· Advanced capability with the Microsoft Office suite of programs, with a high accuracy rating
· You are experienced with Dropbox and the Cloud
· Internet research
· You are proficient in a Mac environment
· You are an advanced user of Google Mail & Calendars
· Typing speed of at least 70 wpm

Contract Details
This is a fixed-term contract position created to provide temporary coverage during a team member’s leave of absence. The anticipated contract period is 6 months. As with any leave-related coverage, timing may be subject to change based on business needs.
Hours: Full-time / 37.5 hours per week
Compensation: $30 - 33 / hour
Location: South Calgary, in office position
