Position Overview:
We are seeking an IT Asset Management (ITAM) Administrator to support the day-to-day management, tracking, and lifecycle administration of IT assets across the organization. The ITAM Administrator will be responsible for maintaining accurate asset records, coordinating hardware and software inventory activities, supporting asset deployments and returns, and ensuring IT assets are properly documented throughout their lifecycle.
The successful candidate will be highly organized and detail-oriented, with experience working with IT asset management systems, inventory databases, and IT service management (ITSM) tools. This role will work closely with IT support, procurement, finance, vendors, and other internal teams to maintain accurate asset information and support effective IT asset governance.
Key Responsibilities:
- Maintain accurate IT asset records throughout the complete asset lifecycle, including procurement, receipt, deployment, assignment, transfer, refresh, return, retirement, and disposal.
- Create, update, and maintain asset records within the organization's ITAM/ITSM platform.
- Track hardware assets including laptops, desktops, monitors, mobile devices, peripherals, networking equipment, and other technology assets.
- Maintain accurate information related to asset ownership, location, status, serial numbers, warranty information, configuration, and assigned users.
- Perform regular inventory reviews, audits, and reconciliation activities to identify discrepancies and maintain data accuracy.
- Coordinate the receipt, tagging, inventorying, storage, deployment, transfer, and return of IT equipment.
- Support hardware refresh and lifecycle replacement programs.
- Coordinate asset recovery activities for employee departures, device replacements, and equipment returns.
- Work with Service Desk and technical support teams to ensure asset records are updated following deployments, swaps, repairs, and replacements.
- Support software asset and license tracking activities where required, including license allocation, usage, renewal, and compliance information.
- Assist with procurement activities by tracking purchase orders, receiving information, warranties, and vendor documentation.
- Support the secure retirement and disposal of IT assets in accordance with organizational policies and data-security requirements.
- Assist with reconciliation between ITAM, procurement, financial, and configuration management records.
- Generate asset reports, inventory reports, lifecycle reports, and other metrics as required.
- Investigate and resolve missing, incomplete, duplicate, or inaccurate asset records.
- Maintain ITAM procedures, documentation, standards, and operational processes.
- Support internal and external audits by providing accurate asset information and supporting documentation.
- Identify opportunities to improve asset management processes, data quality, automation, and reporting.
Skills & Qualifications:
- 2–5 years of experience in IT asset management, IT administration, inventory management, Service Desk, desktop support, or a related IT environment.
- Hands-on experience with IT Asset Management (ITAM) or IT Service Management (ITSM) platforms.
- Experience with tools such as ServiceNow, BMC, Flexera, Snow, Ivanti, SCCM/MECM, Intune, or similar platforms is an asset.
- Good understanding of the IT asset lifecycle from procurement through deployment, support, refresh, and disposal.
- Experience maintaining hardware inventory and asset databases.
- Understanding of asset tagging, inventory reconciliation, stock management, and equipment tracking.
- Familiarity with software licensing and Software Asset Management (SAM) concepts is an asset.
- Strong Microsoft Excel skills, including the ability to work with inventory lists and reconcile large datasets.
- Strong attention to detail and commitment to maintaining accurate records.
- Excellent organizational and time-management skills with the ability to manage multiple priorities.
- Strong analytical and problem-solving skills.
- Effective written and verbal communication skills.
- Ability to collaborate with technical teams, procurement, finance, vendors, and business stakeholders.
- Knowledge of ITIL, ITAM, configuration management, and CMDB concepts is an asset.
Preferred Qualifications
- ITIL Foundation certification or equivalent knowledge.
- ITAM, HAM, SAM, or ServiceNow-related certification is an asset.
- Experience working with a Configuration Management Database (CMDB).
- Experience supporting large enterprise IT environments.
- Experience with hardware lifecycle, refresh, deployment, and asset disposal programs.
