Your Opportunity:
This position provides administrative support to the Program Manager and other leadership positions within the portfolio as delegated by the Program Manager. The position assists the Program Manager to manage their time, respond to requests, be well prepared, meet corporate and departmental accountabilities and be able to access a wide variety of information that can be used for decision making. The position also plays a valuable role in ensuring that all administrative processes and practices in the program are optimized in order to improve efficiency in the office and in the program. Specific responsibilities include: Drafting a variety of program related memos for distribution to management and staff. Coordinating team calendars and managing conflicting priorities. Processing expense claims, obtaining quotes from vendors and completing purchase orders. Participate in and coordinates invitations to a number of meetings and ensures minutes are recorded and distributed accurately and timely. Successful candidates will have a demonstrated ability to organize large quantities of documents and data by developing user-friendly electronic tracking systems for own use as well as use of the manager or other program staff, which integrate functions to enable quick access and efficient retrieval of information. Familiarity with provincial Occupational Health and Safety legislation and Covenant Health WHS policy is an asset. The Secretary II monitors all positions under the functional center and assists the manager to create new positions requisitions, track vacancies, and anticipate needs for recruitment. Required Qualifications:
One year related post secondary certificate required. An equivalent combination of education and experience may be considered.
Additional Required Qualifications:
One year post-secondary certificate in office administration or equivalent combination of education may be considered. Minimum 2 years’ experience in related hospital setting. Expert ability to use Microsoft Office and Outlook. Expert time management and prioritization skills while displaying a positive, professional demeanor. Ability to navigate and respond to patient, family, and staff concerns both in person and over the phone. Excellent written communication and ability to draft professional memos and meeting minutes. Preferred Qualifications:
Working knowledge of Infor WFM, E-facilities and supply procurement.
