Contract Term: October 2026 – December 4, 2026
Compensation: $20–$25/hour, based on experience
Hours: Approximately 15–25 hours/week initially, increasing during peak event periods
Creative Event Solutions Group is a Toronto-area corporate event production agency producing conferences, galas, corporate celebrations, experiential events and other large-scale programs.
We are seeking a highly organized, proactive Event Coordinator to join our team on a fixed-term basis during our busy fall event season. This is a hands-on execution role supporting our Event Producers and senior team across multiple corporate projects.
The position will begin part-time in October, with hours expected to increase as projects move into final production and onsite execution in November. Candidates must have flexibility during peak event periods, including some evenings, extended event days and occasional weekends.
What You'll Do
You will work under the direction of CESG's Producers and support the detailed coordination required to move projects from planning through successful onsite execution.
Responsibilities include:
- Conduct vendor and supplier research and obtain quotes based on project requirements.
- Prepare organized vendor comparisons and recommendations for Producer review.
- Maintain project trackers, timelines, task lists and production documentation.
- Follow up with vendors and project stakeholders on outstanding information and deliverables.
- Assist with venue, catering, décor, entertainment, AV, rental and other supplier coordination.
- Maintain organized digital project files and documentation in SharePoint.
- Prepare meeting agendas, take detailed notes and track action items.
- Assist with registration, attendee, speaker, VIP and vendor logistics as required.
- Support the development and maintenance of event schedules and Run of Show documents.
- Track orders, deliveries, confirmations and production deadlines.
- Assist with event setup, onsite execution and strike.
- Identify potential issues early and escalate them to the Producer with relevant information.
- Complete post-event documentation and project closeout tasks.
Who We're Looking For
You are someone who takes ownership of assigned work and does not require repeated reminders to complete tasks.
You should have:
- Approximately 2–5 years of event coordination, corporate events, conferences, hospitality, venue, experiential or related experience.
- Excellent organizational and time-management skills.
- Strong written and verbal communication.
- Exceptional attention to detail.
- Confidence communicating professionally with vendors and corporate stakeholders.
- Ability to manage multiple assignments and deadlines simultaneously.
- Strong follow-through and accountability.
- Ability to work calmly and effectively when timelines become compressed.
- Proficiency with Microsoft Office; experience with SharePoint and event/project-management platforms is an asset.
- Ability to work both independently and as part of a production team.
- Reliable transportation or ability to travel throughout the GTA for meetings, site visits and events.
Availability Requirements
This is not a fully remote position.
Candidates must be based within practical commuting distance of the Greater Toronto Area and available for in-person planning meetings, venue walkthroughs, production meetings, setup and event execution.
The position will begin at approximately 15–25 hours per week, with the expectation that availability can increase during peak production periods. Event weeks may require significantly longer hours.
The contract is expected to conclude December 4, 2026. Strong performers may be considered for future CESG projects and opportunities as the company continues to grow.
