WHAT WE'RE LOOKING FOR
The HR Onboarding & Change Specialist is an operational role focused on leading
the tactical execution of employee transitions across North America, with a primary
emphasis on Canadian operations. This role is dedicated to ensuring the smooth,
accurate movement of team members into ELC systems; managing entity record
updates, email provisioning workflows, data reconciliations, and regional transition
logistics. Sitting one level below the HR Change Manager, this position drives local
onboarding coordination, active stakeholder outreach, and North American project
support.
STRONG FIT:
2–4 years of relevant corporate experience in HR, onboarding, People Operations, or administration, with a Bachelor’s Degree in HR, Business, Communications, or a related field; equivalent practical experience will also be considered.
PAY RANGE
The anticipated base salary for this position is $70,000 to $80,000 CAD.
Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location.
WHAT YOU'D BE DOING IN THIS ROLE
- Lead the tactical, end-to-end onboarding and entity transition of Canadian and North American team members to ELC, including updating entity mapping records, tracking email provisioning, and maintaining transition logs.
- Support the rollout of North American change initiatives by coordinating orientation logistics, circulating regional employee communications, and maintaining accurate and up-to-date FAQ documents.
- Perform accurate audits, verification checks, data cleaning, and spreadsheet reconciliations of regional employee records using Excel functions and tools, including VLOOKUPs and Pivot Tables.
- Proactively coordinate with internal partners, including IT, Payroll, Legal, People Ops, and other cross-functional teams, to obtain required employee information and resolve missing data or onboarding blockers.
- Independently follow up with stakeholders and team members to gather all required migration inputs, ensuring employee transition data is complete, accurate, and submitted within established timelines.
- Provide project coordination and administrative support, including managing calendar invitations for regional rollouts, maintaining meeting records, and organizing transition-related documentation.
- Maintain localized tracking sheets and prepare weekly progress updates on onboarding and entity transition completion rates across Canada and North America.
- Maintain centralized transition folders and document libraries to ensure stakeholders have access to the latest onboarding resources, guidelines, and transition materials.
- Coordinate logistics for regional onboarding welcome sessions, Q&A sessions, team briefings, and other transition-related meetings and events
SKILLS AND QUALIFICATIONS NEEDED TO GET THE JOB DONE
- Strong proficiency in Google Workspace and Microsoft 365, with solid working knowledge of Microsoft Excel, including VLOOKUPs, Pivot Tables, data cleaning, audits, and reconciliations.
- Proven ability to handle sensitive and confidential employee information with a high level of discretion, integrity, accuracy, and professionalism.
- Strong attention to detail, diligence, and organizational skills, with the ability to manage high-volume administrative and transition workflows, tracking sheets, task dependencies, schedules, and files accurately and efficiently.
- Proactive, adaptable, and solutions-oriented with a “can-do” attitude and the ability to adjust effectively as project timelines, priorities, and onboarding requirements evolve.
- 2–4 years of corporate experience, preferably in HR support, onboarding, or an administrative role, along with a Bachelor’s Degree in HR, Communications, Business, or a related field, or equivalent practical experience
