Role Description The SOS Administration Coordinator is a full-time, on-site role located in Parksville, BC. This position is responsible for providing day-to-day administrative support to ensure smooth office operations, including managing correspondence, maintaining records, scheduling meetings, and supporting program staff with documentation and reporting. The role involves greeting and assisting visitors and callers, offering responsive customer service to community members, volunteers, and partners, and coordinating front desk activities. The Administration Coordinator may assist with basic finance-related tasks such as processing invoices, tracking petty cash, or preparing simple reports, following established procedures. The role also includes organizing office supplies and resources, supporting internal communication, and collaborating with colleagues to uphold SOS service standards and organizational policies.
Qualifications
- Strong communication skills, including clear verbal and written communication, with the ability to interact respectfully with diverse community members and team members.
- Proficiency in administrative assistance and organization skills, such as managing calendars, records, files, and office systems efficiently.
- Customer service experience, with the ability to provide supportive, courteous, and solution-focused responses to inquiries in person, by phone, and by email.
- Basic finance skills, including comfort with handling simple financial processes (e.g., invoicing, expense tracking, or data entry) in accordance with organizational procedures.
- Comfort with standard office software (e.g., word processing, spreadsheets, email, databases) and willingness to learn new systems and tools.
- Ability to work on-site full-time, manage multiple tasks, prioritize effectively, and maintain accuracy and attention to detail.
- Demonstrated reliability, discretion, and adherence to privacy and confidentiality requirements.
- Previous experience in a not-for-profit, community service, or volunteer-driven environment is an asset.
- Relevant education or training in administration, office management, or a related field is beneficial.
