Role Description The Senior Payroll Specialist is accountable for the accurate and timely processing of payroll for Canadian (local and international), US, and UK employees, ensuring compliance with payroll legislation, benefits remittances, and internal controls, while supporting payroll reporting, reconciliations, and continuous improvement of payroll processes.
Responsibilities
Primary
- Processes and manages full-cycle payroll for Canada (local and international), and UK employees, ensuring accuracy and compliance with statutory requirements
- Processes UK local payroll in conjunction with 3rd party payroll processing
- Oversees remittances for RRSP, taxable benefits, and other deductions, ensuring timely and accurate submissions
- Prepares and reviews quarterly payroll reporting for management and finance teams
- Administers LTIP (dividends/Shareworks/memos) and ensures accurate taxable benefit calculations
- Processes benefits-related taxable amounts (Canada Life, Navacor, RBC, RRSP, Cigna/BUPA, MedCan) through payroll
- Manages the labor budget tracking and reconciliation
- Reconciles payroll accounts, resolves discrepancies, and liaises with Finance for month-end close
- Ensures compliance with federal, provincial, and international payroll legislation and reporting deadlines
- Maintains payroll records and documentation to support audits and internal controls
- Responds to employee inquiries regarding pay, deductions, and tax matters
Secondary
- Remains well-informed of changes to payroll legislation across Canada, US, and UK jurisdictions
- Supports system testing, upgrades, and process improvements within the payroll/HRIS platform
- Assists with year-end payroll activities, including EHT, T4s, T4ZZ, W-2s, and UK year-end filings
- Supports internal and external audits related to payroll
- Completes ad-hoc analysis and projects as required
Qualifications
- 5+ years of related payroll experience, including exposure to international payroll (preferably in a senior or supervisory capacity)
- Strong knowledge of payroll legislation, tax regulations, and statutory remittance requirements across Canada, and UK
- Knowledge of ADP Workforce Now system is preferred
- Knowledge of benefits administration, STIP, LTIP, and related taxable benefit calculations
- Intermediate or advanced proficiency with Microsoft Office, particularly Excel
- Strong proficiency with payroll software/systems
- Expertise in multi-jurisdictional payroll processing and reconciliation
- Bachelor’s degree/certificate in Accounting, Finance, Business, Human Resources, or other related fields
- PCP (Payroll Compliance Practitioner) or CPM (Certified Payroll Manager) designation preferred
Salary
The salary range for this position is $110,000 to $120,000, to be determined based on experience and qualifications. Total compensation for this position also includes short-term incentive components.
