Position Summary
We are looking for a detail-oriented Pension Services Administrator to support the day-to-day administration of pension plans and provide administrative support to our advisory team. In this role, you will process pension events such as retirements and terminations, maintain accurate member records, prepare regulatory filings, and respond to questions from plan members and clients. You will also assist financial advisors with paperwork, scheduling, and coordination with investment and insurance providers. This position is ideal for someone who is organized, comfortable working with data and regulations, and enjoys supporting both clients and internal teams to ensure pension services run smoothly and accurately.
Location
This is a full-time, on-site position based in our Winnipeg office.
Key Responsibilities:
Core Pension Administration Duties
- Process cases for events such as retirement, termination of employment, death, relationship breakdown, etc.
- Accurately maintain and update client databases on a regular basis.
- Quality control of year-end data input and verification of program output, including Annual Benefit Statements.
- File the Annual Information Return (AIR) and other regulatory forms with the applicable legislating body.
- Interpret and apply the provisions of the pension plans and various applicable provincial and federal legislation.
- Respond to inquiries from clients and plan members via email, phone calls, or in person, regarding data and administration.
- Develop and present solutions and improved processes for various plan issues to consultants and internal partners.
- Coordinate new business implementation with account management and implementation teams.
Additional Administrative & Advisor Support Responsibilities
- Assist financial advisors with preparation and processing of administrative paperwork (such as T2151, T2033, applications).
- Correspond and coordinate administrative documentation with investment and insurance providers.
- Support internal financial advisors with scheduling client meetings and managing calendars.
- Prepare and distribute follow-up notes and documentation to plan members and clients.
- Maintain organized digital and physical filing systems in accordance with compliance requirements.
- Provide general administrative support to the advisory and consulting team.
- Assist with special projects and other tasks as directed to support overall team operations.
- Perform other tasks as assigned to assist in the overall team effort.
Qualifications and Attributes
- Post-secondary diploma in a related field, such as business administration, or equivalent training obtained through a combination of relevant work experience and education.
- Attentive to detail
- Strong analytical skills
- Minimum two years’ experience of pension benefits administration
- Understanding of group pension and benefits plan designs, strong analytical and mathematical abilities
- Certified Employee Benefit Specialist (CEBS) designation would be considered an asset
- Candidate must be attentive to detail, and have the ability to prioritize and multi-task in a fast-paced environment
- Excellent written and verbal communication skills for effective communication with internal and external stakeholders
- Preference will be given to those individuals who are proficient in French.

- Successful completion of a cleared criminal background check is required.
