About Ethereal Music Group:
Ethereal Music Group is a fast-growing group of music, technology, and wellness businesses. This role will support the entire group, with a primary focus on 7CULT, our record label, and Pulse, our music marketing agency and technology platform. Our teams work across marketing, artist development, distribution, finance, operations, and product, creating an environment where well designed processes and practical systems have an immediate impact.
Role Summary:
We are seeking a highly practical Senior Business Analyst to map, improve, and scale business processes across our group of companies. You will work directly with leaders and frontline teams to understand how work happens today, document current and future-state workflows, identify gaps and dependencies, and build realistic roadmaps that move the business toward better ways of working.
This is not a role for someone who only produces process maps and recommendations. You will be expected to turn analysis into action: make small improvements immediately, lead larger changes through implementation, and measure whether the changes are working.
You will also own the structure, governance, and adoption of ClickUp, our primary work management platform. You will configure and improve ClickUp directly, establish practical standards, train teams, and ensure the platform supports how each business operates with little to no technical support.
Duties and Responsibilities:
Business Process Analysis and Design
- Map end-to-end processes across the group, with an initial focus on 7CULT and Pulse.
- Lead stakeholder interviews and working sessions to understand current workflows, pain points, controls, handoffs, roles, and system dependencies.
- Create clear current state and future state process maps, requirements, standard operating procedures, and supporting documentation.
- Identify root causes, duplicated effort, bottlenecks, unclear ownership, control gaps, and opportunities for automation or simplification.
- Translate operational needs into clear business requirements, user stories, acceptance criteria, and implementation plans when product or engineering support is required.
Roadmaps and Execution
- Build and maintain prioritized process improvement roadmaps that balance immediate wins with longer term systems and organizational changes.
- Implement low complexity improvements directly rather than waiting for a larger project or technical resource.
- Lead cross functional improvement initiatives from discovery through rollout, adoption, measurement, and refinement.
- Define success measures and report on progress, adoption, cycle time, quality, risk reduction, and other relevant outcomes.
- Surface tradeoffs, dependencies, risks, and decisions clearly so leaders can act quickly.
ClickUp Ownership
- Own the group wide ClickUp operating model, including workspace architecture, Spaces, Folders, Lists, statuses, custom fields, templates, automations, permissions, dashboards, and reporting.
- Configure and deploy ClickUp improvements independently, with little to no technical support.
- Establish practical governance and best practices that create consistency without forcing every team into the same workflow.
- Audit usage and data quality, simplify overbuilt workflows, retire outdated structures, and ensure teams consistently maintain accurate work in the platform.
- Create training materials, onboard new users, deliver role-based training, and provide ongoing coaching so teams use ClickUp confidently and effectively.
- Evaluate and manage integrations between ClickUp and other core tools, partnering with technical resources where necessary.
Cross Functional Partnership
- Partner with leaders and teams across the group of companies, Finance, Legal, People, Operations, Product, and Engineering.
- Facilitate decisions where processes cross teams or entities and clarify ownership using practical tools such as RACI matrices and service level expectations.
- Act as a trusted bridge between business teams and technical resources, translating needs in both directions.
- Support change management through clear communication, training, feedback loops, and hands-on follow through.
Qualifications and Skills:
Required
- 5+ years of experience in business analysis, business systems analysis, process improvement, operations, or a related role.
- Demonstrated experience mapping complex, cross-functional processes and designing practical future state workflows.
- A strong record of moving beyond recommendations to implement improvements and drive sustained adoption.
- Hands-on experience administering and configuring ClickUp or a comparable work management platform; direct ClickUp experience is strongly preferred.
- Ability to build phased roadmaps, prioritize competing opportunities, and manage initiatives from discovery through execution.
- Experience creating process maps, business requirements, user stories, acceptance criteria, SOPs, and training materials.
- Strong facilitation, stakeholder management, written communication, and presentation skills.
- Comfort working independently in a fast-growing environment with ambiguity, changing priorities, and limited technical support.
- Strong judgment, attention to detail, and the ability to connect day-to-day process decisions to long term business goals.
Strongly Preferred
- Advanced ClickUp administration experience, including automations, dashboards, templates, permissions, forms, workload views, and integrations.
- Experience across multiple business entities or business units with different operating models.
- Familiarity with process improvement methods such as Lean, Six Sigma, BPMN, or service design.
- Experience partnering with product and engineering teams on system changes or internal tools.
- Relevant certification such as CBAP, CCBA, Lean Six Sigma, PMP, or ClickUp certification.
Who This Role Is For
- Someone who takes action and looks for the smallest useful change that can be made now.
- A systems thinker who can connect detailed workflows to a practical multi-year roadmap.
- A builder who enjoys configuring tools, testing solutions, training users, and refining what was implemented.
- A clear communicator who can earn trust across creative, operational, and technical teams.
- Someone who values useful, adopted processes over perfect documentation.
- A self-directed operator who brings structure to ambiguity and follows through on commitments.
Requirements
- Legally eligible to work full-time in Canada.
- Able to work in a hybrid environment in Vancouver, BC.
- Able to provide personal working equipment, including a computer.
