Role and Responsibilities
1. Payroll Processing & Administration
- Process regular payroll accurately and on time, including wage calculations, timesheet verifications, and statutory/benefits deductions.
- Address and resolve employee payroll-related inquiries promptly.
- Collaborate with Finance to reconcile payroll data, maintain records, and resolve discrepancies.
- Maintain accurate payroll databases while ensuring strict compliance with applicable payroll regulations and privacy standards.
2. Health & Safety Compliance
- Support Joint Health and Safety Committee (JHSC) operations by scheduling meetings, preparing materials, recording minutes, and tracking recommendations.
- Participate in regular workplace inspections, job hazard assessments, ergonomic reviews, and incident/near-miss investigations.
- Maintain health and safety records, inspection reports, training logs, safety data sheets, and required workplace postings.
- Assist with workplace injury reporting, WSIB/disability claims administration, modified-work arrangements, and safe return-to-work plans.
- Coordinate emergency preparedness activities, including drills, first-aid coverage, and safety communications.
3. Employee Relations & HR Support
- Act as a point of contact for routine employee queries regarding company policies, workplace practices, and benefits.
- Assist in resolving routine workplace concerns and conflicts, ensuring fair and consistent application of policies while escalating complex issues appropriately.
- Coordinate smooth onboarding and offboarding workflows, including conducting orientation sessions, exit interviews, and termination documentation.
- Maintain accurate employee files, HRIS records, and confidentiality of all HR documentation.
4. Training & Performance Management
- Track completion of mandatory safety training, certifications, and refresher courses.
- Assist with scheduling, organizing, and delivering general employee development and training programs.
- Support performance review processes, including goal setting, performance evaluations, and feedback sessions.
- Collaborate with managers to ensure performance-related matters are appropriately addressed.
5. Recruitment
- Support full-cycle recruitment activities as needed, including drafting job postings, screening resumes, scheduling interviews, conducting reference checks, and preparing offer letters.
- Collaborate with hiring managers to define basic job requirements and onboarding plans.
6. Data Management & Reporting
- Maintain accurate and up-to-date HR and payroll records, ensuring confidentiality and security of sensitive information.
- Prepare reports and metrics related to HR activities, payroll, and trends for management review.
Qualifications:
- Education: Post-secondary diploma or degree in Human Resources, Business Administration, Accounting, or a related field.
- Experience: 0 – 2 years of progressive experience in an HR or Payroll support role (or a combination of generalist and payroll exposure).
- Core Knowledge: Hands-on experience or working knowledge of end-to-end payroll processing, employment standards, health and safety regulations (OHSA/WSIB), and human rights requirements.
- Technical Skills: Proficiency with Microsoft 365 (especially Excel for payroll reporting), exposure to payroll software, and experience using an HRIS or Applicant Tracking System (ATS).
- Key Competencies: Excellent interpersonal communication, strong attention to detail, strong time-management skills, and the ability to handle confidential data with discretion.
