Relief Receptionist Position
Extend-A-Family Waterloo Region
Qualifications:
- Secondary school diploma or equivalent with related experience
- Minimum one to two years related experience, in a public facing administrative role.
- Familiarity with the Developmental Services sector and needs of people living with developmental disabilities
- Excellent oral and written communication skills.
- Strong organizational skills.
- Reliability and excellent attention to detail.
- Demonstrated working knowledge of computer applications including word processing, email and use.
- Direct Experience with Google and Microsoft ecosystems is an asset
- Demonstrated good public relations skills

Role:
As a key member of our staff team, you are relied upon to help ensure the smooth running of the agency, as well as being the primary greeter at our head office that makes sure those who come to us for whatever reason feel welcome to do so.
Hours and Pay:
- 3 Hours per week. Wednesday or Thursday mornings.
- Covering vacations, sick days and other days as needed
- Pay Rate $21.95 +6%VAC (Step 1 – 3)
Responsibilities and Functions:
Reporting to the Director of Human Resources the Relief Receptionist will:
Take responsibility for the Reception Area by:
- Greeting visitors to the office
- Managing phone inquiries, directing calls, and taking messages as appropriate
- Receiving electronic inquiries, directing messages as appropriate.
- Ensuring that the information in the reception area is current and well stocked. (ie. brochures, notices, forms etc…)
- Understanding and articulating agency programs and services to facilitate dealing with inquiries/questions from workers or families
- Communicate office supply shortages for re-order.
- Support with compliance inspection preparation and file audits
- Being aware of and adhering to the organization’s Health & Safety policies and
Procedures. Promoting a safe work environment as per the OHSA

Oppressive
Provide Administrative Support by:
- Distributing information as requested/required
- Managing general directory mailbox and making sure messages are passed along appropriately
- Reformat and standardize submitted files for further processing
- Ensuring incoming and outgoing mail is stamped, delivered/mailed on daily basis
- Registering and maintaining attendee lists for training sessions or other EAF events and making reminder calls to participants
- Tracking use of event passes/tickets, borrowing of resources from EAFWR.
- Preparing mail outs as requested;
- Internal subject matter expert for office machines such as; fax machine, postage meter, and photocopier (excluding service and repairs)
Accept Other Duties:
- Accept Other Duties as requested/required
