Payband: This position is paid at Payband H. $38.09 - $44.04 per hour.
Hours: Monday to Friday, 8:30 a.m. to 4:30 p.m.
Why this Role is Important
Reporting to the Manager, Registration, Records & Apprenticeship. The Incumbent co-ordinates the tasks associated with the enrollment registration of full and part-time post secondary and adult training students. eg. compulsory fee billing, advanced standing, re-admissions and program transfer, withdrawal processes, course drop/add issues. Provides guidance and advice to the enrollment services team, troubleshoots and streamlines associated processes. Creates communications to students and co-ordinates distribution of same. Liaises with other departments on matters related to the registration of post secondary students. e.g. out of the norm drop/add or grade change issues, co-op processes, athletics department support. Works with other Team Leads to set priorities and accomplish departmental goals.
How You’ll Make An Impact
- Provides guidance and advice to the enrollment services team on a regular basis for orderly achievement of deadlines as required for the activities that are associated with the registration of full-time and part-time post secondary and adult training students. Activities include: advanced standing, re-admission, and program transfer admission processes, student program withdrawal process, course drop/add process, compulsory fee billing, co-op fee billing, refunds, part-time registration.
- Performs the role of key resource person to the enrollment services team and assists team members with problem solving and setting priorities. Arranges and/or conducts training for the team and other Registrar’s Office staff members on registration matters.
- Investigates and recommends solutions for out-of-the-norm student issues that are not always addressed by College Policy.
- Recommends and implements changes to processes to improve service delivery and eliminate problems. Works co-operatively with Systems Analysts and Systems Co-ordinator to ensure computer processes developed are effective. Works with other Team Leads to set priorities, meet deadlines and accomplish departmental goals. Works with academic divisions to provide improved service.
- Incumbent is a super user of the student system and has functions that are available to very few staff, due to the care required in their application. Tasks associated with these functions require forethought, a thorough understanding of the steps in the process, and complete awareness of the risk involved if an error is made. Using these tools, incumbent corrects errors in academic (course) and student records that cannot be solved at the level of the customer service agent.
- Analyzes student enrollment data to support enrollment reporting for internal purposes and ministry reporting. Identifies discrepancies and resolves data issues to provide accurate enrollment data.
- Creates and maintains the post secondary control course sections based on enrollment projections, academic calendar and dates provided by the Academic divisions. Accuracy and in depth knowledge of program format is critical in this task as the data contained on the control course sections provides the basis for student registration records including course enrollment and fee assessment. Maintains the section's maximum capacity to facilitate or prevent registrations.
- Recommends effective methods of communication for advanced level applicants on admission and registration matters. Reviews content with other college departments for currency, updates the text on FACS, using virtual fields, bookmarks, knowledge of communication management module. Arranges distribution of large volumes of communications to students for matters relating to the registration. (e.g. fee billing, orientation, admission decisions)
- Performs other related duties as assigned
What You’ll Bring
- Post-secondary 2-year diploma in Business Administration, Project Management, Office Administration, Social Sciences, Humanities or Communications
- Minimum 2 years’ experience in a high-volume, multi-task environment with direct customer service
- An equivalent combination of education and experience may be considered
- Experience demonstrating leadership in a team setting. Experience guiding the daily work tasks of others
- Experience multi-tasking under pressure, prioritizing to meet deadlines and the ability to work independently
- Experience with post-secondary student information systems
