POSITION SUMMARY
Reports to: Health & Safety Director
The Health & Safety Administration Officer plays a vital role in supporting the successful delivery of the Project by providing administrative and operational support to the Health & Safety Team. This position is responsible for maintaining accurate records, coordinating health and safety initiatives, assisting with compliance activities, and ensuring health and safety systems and documentation are effectively managed. While primarily based in the project office, occasional visits to the construction site may be required to support project activities and engage with project personnel.
The Health & Safety Admin Officer’s key responsibilities are:
- Provide direct administrative support to the Health & Safety team.
- Maintain Health & Safety filing systems, ensuring documentation is current, accurate, and readily accessible.
- Update and manage health and safety records, forms, registers, and project documentation as required.
- Support the preparation and organization of materials for internal and external audits.
- Maintain and manage the project Training Tracker.
- Monitor training expiry dates and assist in coordinating required training and recertification activities.
- Ensure training records are accurately maintained and updated.
- Conduct regular Personal Protective Equipment (PPE) inventory stock takes.
- Coordinate PPE ordering, distribution, and inventory management.
- Maintain records of PPE issuance to project personnel.
- Collect and maintain project health and safety data.
- Assist in compiling monthly health and safety statistics and reports.
- Support the analysis and reporting of project safety performance metrics and trends.
- Assist in the development and implementation of project health, safety, and wellbeing initiatives.
- Support the delivery of the NEC Health and Wellbeing Program and Strategy.
- Coordinate wellness campaigns, awareness activities, and employee engagement initiatives.
- Organize and coordinate quarterly Safety Summit events.
- Assist with meeting logistics, presentations, communications, and event documentation.
- Provide support for health and safety activities occurring on-site when required.
- Assist with safety inspections, observations, and project initiatives under the guidance of the Health & Safety Team.
- Maintain positive working relationships with project staff, contractors, and stakeholders.
EDUCATION AND QUALIFICATIONS
- Diploma, certificate, or education in Occupational Health & Safety, Business Administration, or a related field, or equivalent relevant experience.
- Strong administrative and organizational skills.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint.
- Excellent attention to detail and data accuracy.
- Strong written and verbal communication skills.
- Ability to effectively manage multiple tasks and deadlines in a fast-paced environment.
