POSITION SUMMARY
Reports to: Construction Manager
The Site Coordinator supports the day-to-day administrative operations of a tunnel construction project. The Site Coordinator will serve as a key point of coordination between the construction team, subcontractors, project controls, HSE, HR, and corporate departments, ensuring efficient site operations and accurate project documentation.
The Site Coordinator’s key responsibilities are:
- Provide administrative support to the Construction Manager, General Superintendent and leadership team.
- Coordinate daily site administrative activities and prioritize work to support construction operations.
- Maintain project records, correspondence, reports, meeting minutes, and site documentation.
- Manage incoming calls, emails, and visitor inquiries, directing them to appropriate project personnel.
- Coordinate site meetings, prepare agendas, distribute minutes, and track action items.
- Support workforce onboarding by coordinating access requests, orientations, training records, and site inductions.
- Assist with timesheet collection, labour tracking, vacation requests, and workforce reporting.
- Maintain and update project filing systems, both electronic and hard copy, ensuring document control requirements are met.
- Process purchase requisitions, invoices, expense reports, and other administrative transactions.
- Coordinate travel arrangements, accommodations, and logistics for project personnel when required.
- Support document management platforms such as Aconex, SharePoint, or other project systems.
- Track and maintain site office supplies, equipment inventories, and facility requirements.
- Assist in preparing construction reports, productivity reports, and monthly project summaries.
- Coordinate courier services, mail distribution, and project-related communications.
- Establish and maintain professional working relationships with project stakeholders, subcontractors, and clients.
- Ensure compliance with project procedures, company policies, and document retention requirements.
EDUCATION AND QUALIFICATIONS
- Diploma or post-secondary education in Business Administration, Office Administration, Construction Administration, or a related field.
- Minimum 2-5 years of administrative experience, preferably within construction, infrastructure, mining, or industrial projects.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced construction environment.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently while supporting a multidisciplinary project team.
- Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with project document management systems such as Aconex, Procore, SharePoint, or similar platforms is considered an asset.
JOB REQUIREMENTS
- Demonstrated proficiency in Microsoft Office applications, with advanced Excel skills considered a strong asset.
- Experience managing project documentation, records management, and document control processes.
- Ability to support construction reporting, workforce administration, and site logistics.
- Familiarity with construction projects, site operations, and project administration practices.
- Experience coordinating meetings, preparing reports, and managing administrative workflows.
- Ability to document and implement continuous process improvements within areas of responsibility.
- Working knowledge of health and safety documentation and training record management is considered an asset.
- Familiarity with unionized construction environments.
PREFERRED EXPERIENCE
- Experience working on large infrastructure, tunneling, transit, or heavy civil construction projects.
- Familiarity with unionized construction environments.
- Experience supporting field operations, construction managers, superintendents, and project teams.
- Knowledge of project administration processes including workforce tracking, document control, procurement support, and reporting.
