Accounts Payable & Receivable Administrator
Full-time | On-site | Weekday hours
Our client is an established, growing distributor of commercial building equipment. They have a strong reputation for service and a team that values initiative and continuous improvement. They're looking for a detail-focused administrator to manage accounting and office operations at their local location.
What you'll do
Accounting
- Review, code and process supplier invoices, matching them to purchase orders and receiving documents
- Monitor job costs against customer billing, including shipping charges and credits
- Issue customer invoices and manage collections on past-due accounts
- Record incoming payments, prepare bank deposits and process card payments
- Maintain accurate receivables records and reporting
- Reconcile inventory movements and support periodic stock counts
- Investigate and resolve billing or payment issues with suppliers, customers and internal teams
- Complete credit applications for new accounts
- Review order documentation such as confirmations, shipping paperwork and tracking details
- Support month-end close, including accruals and reconciliations
- Gather information for audits and management reporting
Office administration
- Act as the first point of contact for visitors and incoming calls
- Route questions to the appropriate team members
- Manage mail, shipping and receiving of packages
- Maintain organized paper and electronic records
- Help the sales, operations and warehouse teams with general administrative work
What you need
- 3+ years in an administrative or bookkeeping role with hands-on AP/AR responsibility
- Working knowledge of PO, receipt and invoice matching (3 way matching required)
- Diploma or certificate in bookkeeping, accounting or office administration
- Strong accuracy and follow-through, and the ability to manage deadlines in a fast-paced setting
- Professional written and verbal communication
- Comfort with Outlook, Word and Excel (basic formulas and data entry)
- ERP or accounting software experience is an asset
- Openness to learning new systems and taking feedback
