Workrite Construction Services Group Inc. is looking for a full-time Bookkeeper / Office Administrator to join our team.
This position is primarily focused on bookkeeping, with some general office administration and support for our Project Management team. The bookkeeping side includes AP, AR, BiWeekly payroll using ADP platform, government filings, reconciliations, job costing, and invoicing. The office administration side includes helping keep track of office supplies, help with material purchases, supplier information, and other day-to-day office needs.
Duties
Bookkeeping and Accounting
- Full-cycle bookkeeping using QuickBooks Online, including AP and AR.
- Enter and process supplier, subcontractor, and customer invoices.
- Prepare customer invoices and follow up on outstanding accounts receivable.
- Process and track accounts payable and supplier payments.
- Reconcile bank and credit card accounts.
- Track project costs and maintain job costing.
- Maintain subcontractor files and required documentation.
- Prepare monthly reports as requested.
- Assist with year-end accounting and provide information to the external accountant when required.
Government Filings and Payroll
- Prepare and submit HST filings.
- Process source deductions and other government remittances.
- Complete WSIB filings and maintain WSIB records.
- Process payroll through ADP.
- Prepare ROEs and T4s.
Project and Material Support
- Help estimators and management with contacting suppliers for material pricing, availability, lead times, and product information when requested.
- Obtain and compare supplier pricing when needed.
- Keep track of material orders and payments.
- Maintain organized records of supplier quotations, orders, invoices, and related documentation.
Office Administration
- Monitor and purchase general office supplies and equipment as required.
- Manage routine office purchases through suppliers such as Amazon, Walmart, and other vendors.
- Keep track of office expenses and receipts.
- Maintain organized digital and physical records.
- Assist with general administrative tasks as required.
Qualifications
- 1 to 3 years of bookkeeping or accounting experience. Recently graduates are welcome to apply.
- QuickBooks Online experience is required.
- Experience with payroll and ADP is an asset.
- Construction industry experience is an asset.
- Experience with job costing, reconciliations, HST, WSIB, payroll, invoicing, AP, and AR.
- Good working knowledge of Excel and Microsoft Office.
- Comfortable dealing with suppliers and following up on invoices, pricing, orders, and payments.
- Able to work independently and keep track of multiple ongoing tasks (as in, what materials goes to what project).
- Clear and professional communication with suppliers, subcontractors, and the project team and our team.
Job Type
