Hartmann Canada Inc, in Brantford, Ontario is a division of Hartmann North America. We are the world leader of moulded fibre egg cartons. Reporting to the Human Resources Manager, the HR Coordinator provides administrative and operational support across the Human Resources function and Head Office. The role is responsible for workforce scheduling, vacation administration, internal postings, training record administration, onboarding support, employee data management, HR reporting, and employee programs. The position serves as a key support resource to the HR and operational team while ensuring the effective administration of HR processes in a unionized manufacturing environment.
Your Role:
Weekly Workforce Scheduling & Vacation Administration
- Create, distribute, and maintain the weekly workforce schedule.
- Update schedules with new hires, job awards, internal movements, and modified duties.
- Support workforce planning activities related to Non-Posted Bench (general labour) employees, training requirements, and vacancy coverage.
- Maintain records of employees restricted from shift coverage/self-replacement.
- Organize and track hourly vacation, random day, and self-coverage requests.
- Maintain and update the vacation tracker annually.
- Communicate prime-time vacation process and approvals by established deadlines.
- Distribute approved requests to supervisors for employee confirmation.
- Provide clear communication to employees, supervisors, and union representatives regarding approvals/denials.
Internal Posting & Training
- Administer job postings and awards in accordance with the collective agreement.
- Communicate awards through memos and direct employee contact.
- Track and maintain qualification records
- Coordinate testing and qualification requirements for job classifications as required.
- Maintain accurate training spreadsheets.
HR Department Support and Administration
- Maintain employee files and HR records.
- Support payroll and HRIS transactions relating to new hires, transfers, leaves, and terminations.
- Prepare routine HR reports and metrics.
- Assist with benefits documentation and employee information updates.
- Coordinate employee onboarding documentation and orientation logistics.
- Manage employee records in accordance with company policies and privacy requirements.
- Support projects and continuous improvement initiatives within the Human Resources department.
- Perform other related duties as assigned.
Recruitment & Onboarding Support
- Support recruitment initiatives including interview scheduling, candidate communications, and onboarding preparation.
- Assist the Recruitment Coordinator with recruitment campaigns and hiring events.
- Prepare onboarding packages and new hire documentation.
- Coordinate pre-employment testing and onboarding activities.
- Track recruitment and onboarding metrics.
Employee Programs & Engagement
- Assist in planning employee events, communications, and engagement initiatives.
- Assist with employee communication distribution and posting of notices.
- Support and administer employee programs
Office Administration
- Coordinate meeting facilities and visitor arrangements.
- Administer courier, mail, and vendor services.
- Maintain office supplies and common areas.
- Support departmental and organizational events.
- Maintain office lunchroom and meeting spaces in a professional manner.
- Support organization of meals, office events, and vendor relationships.

Minimum Qualifications:
- Post-secondary education in Human Resources, Business Administration, or a related field preferred
- CHRP designation or active pursuit of CHRP designation considered an asset
- Proficient with computers and Microsoft office programs (ie: Word, Excel).
- Previous experience within Manufacturing, with an understanding of scheduling, vacation management and record maintenance an asset.
- Previous experience in a unionized context and applying collective agreement provisions
