JOB SUMMARY
The QAQC Coordinator (Hybrid) supports the Quality and Compliance Department through oversight of document control, data trending, supplier qualification, deviation and CAPA management, and compliance reporting. This position plays a central role in maintaining the integrity of the Quality Management System (QMS) and ensuring operational compliance across all departments. The role operates primarily remotely for system-based and analytical tasks but requires periodic on-site presence for audits, validation support, and facility inspections. The coordinator also supports HR administration within the Quality team by managing training records, onboarding coordination, and personnel documentation alignment with regulatory requirements.
Schedule: This position is a Hybrid. 1 week (M-F) in Oyen, AB and 1 week (M-F) Work from Home.
KEY RESPONSIBILITIES
- DOCUMENT CONTROL & QUALITY SYSTEMS
- Collaborate with the onsite QAQC Coordinator to write, review, and update SOPs, reports, logs, and training materials in alignment with GPP, GACP, and internal standards.
- Acts as document owner and system administrator for controlled documents; ensures on-site QAQC Coordinator has current and approved versions.
- Manage document lifecycle activities - drafting, issuance, revision control, and archiving.
- Ensure controlled copies of SOPs and forms are current, distributed, and logged.
- Maintain master document lists and QMS databases, ensuring accessibility and traceability.
- DEVIATION, CAPA, AND CHANGE CONTROL OVERSIGHT
- Review and compile deviation reports and CAPA documentation submitted by on-site staff.
- Support risk assessments, root cause analysis and track CAPA implementation and verification.
- Manage change control forms and ensure appropriate review, approval, and implementation documentation.
- Conduct trend analysis of deviations and non-conformances to identify systemic issues.
- INTERNAL AUDIT & COMPLIANCE REPORTING
- Develop internal audit checklists and compile audit reports for management review. Provides audit preparation packages and checklists to on-site team.
- Track completion of audit findings and verify closure documentation.
- Support external audit preparation, ensuring readiness documentation and follow-up responses are complete.
- Perform data trending on environmental monitoring, pest/pathogen results, and deviations to identify trends or compliance risks.
- Prepare monthly or quarterly QA/QC summary reports for management review.
- Collect and review supplier documentation (COAs, GMP/GACP certifications, specifications).
- Maintain supplier qualification and performance records within the QMS.
- Support vendor audits or qualification reviews as required.
- TRAINING & PERSONNEL COMPLIANCE
- Collaborate with the QAQC Coordinator to develop and maintain compliance-focused training materials and SOP-based modules.
- Track and record employee training completions and competency verifications.
- Support onboarding of new employees, ensuring training, orientation, and policy sign-offs are completed.
- Maintain HR-linked documentation within the QMS, ensuring confidentiality and compliance with data protection standards.
- Conduct facility walkthroughs, internal audits, and area inspections on a scheduled basis.
- Participate in validation and qualification activities as required.
- Collaborate with the on-site QAQC Coordinator to verify consistency between facility practices and controlled documentation.
- Ensure all documentation is appropriately filed on site and accessible.
QUALIFICATIONS, KNOWLEDGE & SKILLS
- Post-secondary education in Quality, Regulatory Affairs, Biology, or a related discipline or minimum 1–3 years of QAQC or compliance experience in a regulated industry (cannabis, pharmaceutical, or food manufacturing preferred).
- Proficient in Microsoft 365 (Excel, Word, SharePoint) and QMS software systems.
- Strong technical writing skills and familiarity with document control systems.
- Demonstrated understanding of GPP/GACP and quality documentation practices.
- Exceptional attention to detail and organizational skills.
- Strong interpersonal and communication skills with the ability to collaborate cross-functionally.
MANDATORY
- Must have legal authorization to work in Canada.
- Must not have any criminal convictions or arrests involving drug-related offences (RCMP record check required).
- Must have reliable transportation for periodic on-site visits.
