Job Purpose
The ELV Coordinator is responsible for the accurate and timely administration of (ELV) files related to vehicle financing and leasing through BMW Canada. This role ensures full compliance with BMW Financial Services and BMW Canada. The ELV Coordinator works closely with the Service Manager, Accounting, and BMW Canada (FS) to ensure clean, funded, and auditable files.
Responsibilities
- ELV & Funding Management
- Process all ELV registrations, discharges, and validations for new and pre-owned vehicles.
- Submit complete and accurate deal files to BMW Financial Services within required timelines.
- Monitor funded vs. unfunded deals and actively follow up to resolve discrepancies.
- Perform Licensing submission and pick up from the locate MTO office.
File Control & Compliance
- Audit deal jackets for completeness, accuracy, and compliance prior to submission.
- Maintain organized digital and physical records of all ELV documentation.
- Ensure adherence to BMW Canada, BMW Financial Services, OMVIC, and provincial regulations.
- Support internal and external audits as required.
Cross-Department Coordination
- Liaise daily with all management and Accounting to resolve missing documentation or funding delays.
- Communicate clearly with lenders regarding discrepancies, re-contracts, or corrections.
- Act as the primary ELV point of contact for BMW HQ and BMW Financial Services.
- Assist with administrations of loaners, grounding loaner, update loaner information binder
- Ensure key trak master spreadsheet is up to date, and all NEW ELV and ELRs are accurately logged.
- Assist service advisors when there are no ELV deliveries
Reporting & Administration
- Provide regular reports on unfunded vehicles, aged deals, and ELV status.
- Track and escalate high-risk or aged files to management promptly.
- Assist with month-end and year-end reconciliation related to vehicle funding.

Compensation Range: $50,000 - $60,000 per year. Compensation is comprised of a base salary + commission
Qualifications
- 1 - 3+ years of automotive dealership administration, funding, or accounting experience.
- Strong knowledge of vehicle registration, lien processing, and funding procedures.
- Familiarity with OMVIC and provincial compliance requirements.
- Experience working with dealership management systems (DMS).
- Strong proficiency in Microsoft Excel and document management systems.
