The Role and Your Typical Day
At Ironwood Management, we simplify real estate investing by combining expert management with value-add investment opportunities. We are seeking a highly organized Commercial Property Administrator to provide comprehensive administrative, financial, and operational support to our Property Management team.
Your daily responsibilities will include the following tasks:
- Provide comprehensive administrative support to Property Managers and general office staff, assisting with daily operations, scheduling, and ad hoc projects.
- Act as the primary point of contact for tenant inquiries, responding to general property questions and coordinating move-ins and move-outs.
- Code and process property invoices, track monthly recurring billings, and prepare Accounts Receivable (AR) summaries.
- Maintain accurate lease files and track critical lease data, including upcoming expiries and renewal dates.
- Coordinate tenant service requests, dispatch maintenance work orders, and follow up to ensure timely completion.
- Track and enforce Certificates of Insurance (COIs) for all tenants and vendors to ensure ongoing compliance.
- Perform general office administration, draft building communications, and maintain organized digital and physical property records.

Candidate Qualifications
To be considered for this position, the expected qualifications are:
- Diploma or degree in Business Administration, Real Estate, or a related field (preferred).
- 1–3 years of experience in property administration, real estate, or a related office environment.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong organizational skills with high attention to detail and accuracy.
- Ability to manage multiple deadlines, particularly monthly reporting cycles.
- Experience with property management software (e.g., Yardi, MRI) is considered an asset.
- Strong written and verbal communication skills with a professional tenant-facing approach.
