iTacit is a growing B2B SaaS company helping organizations connect, train and empower their frontline teams. As we continue to grow, we're looking for an organized, resourceful Administrative Coordinator to provide administrative and operational support across the organization.
This is a varied role supporting several key areas of the business, including People & Culture, Finance and general business operations. You'll work closely with our operational and People & Culture leaders to coordinate day-to-day processes, maintain accurate information and documentation, and help ensure important activities are completed efficiently and on time.
We're looking for someone who enjoys being organized, solving problems and keeping things moving. The ideal candidate is comfortable managing multiple priorities, takes ownership of follow-through, and isn't afraid to identify a better way of doing something.

Key Responsibilities
People & Culture Administration
- Provide administrative and coordination support throughout the employee lifecycle, from recruitment and onboarding through offboarding.
- Coordinate interview scheduling, candidate communications, reference and background checks, and other recruitment logistics.
- Prepare employment-related documentation and maintain accurate employee records.
- Coordinate onboarding activities, including documentation, system access, equipment and orientation requirements.
- Support benefits enrolments, employee changes and related administration.
- Maintain HR systems and ensure employee information is accurate and current.
- Coordinate performance management timelines, documentation and follow-up.
- Support employee engagement activities, surveys, training and company events.
- Track policy acknowledgements, required documentation, certifications and other compliance-related records.
- Assist with routine employee questions and direct more complex matters to the Manager, People & Culture.
Finance & Administrative Support
- Support payroll administration by gathering, reviewing and preparing payroll-related information and employee changes.
- Assist with expense, invoice and other routine financial administration as required.
- Maintain organized records and documentation to support finance and administrative processes.
- Assist with recurring administrative activities, reporting and information gathering.
- Coordinate with employees and external providers to resolve routine administrative matters.
- Support the preparation and organization of information required for internal reporting, audits or other business requirements.
Business & Office Operations
- Support the day-to-day administration of our Fredericton office.
- Coordinate office supplies, equipment and other workplace requirements.
- Assist with employee equipment, access and administrative setup.
- Coordinate with vendors and service providers and help track requests through to completion.
- Support company meetings, employee events and other internal activities.
- Assist with travel and meeting arrangements when required.
- Maintain organized administrative files, records and shared resources.
- Identify opportunities to simplify, document or improve recurring administrative processes.
- Provide general administrative and operational support as business needs evolve.
Qualifications
We're looking for someone who is organized, dependable and comfortable taking ownership of the details.
The ideal candidate will bring:
- Previous experience in an administrative, operations, HR coordination, office administration or similar role.
- Strong organizational skills and the ability to manage multiple priorities and deadlines.
- Excellent attention to detail and a commitment to maintaining accurate records.
- Strong written and verbal communication skills.
- Sound judgment and discretion when handling confidential employee and business information.
- Confidence working independently while knowing when to ask questions or escalate an issue.
- Strong follow-through and a willingness to take ownership of tasks from start to finish.
- Comfort learning and working with a variety of business systems and technology.
- Proficiency with Microsoft Office, including Outlook, Word and Excel.
- Experience with HR, payroll, accounting or other business administration systems would be an asset.
- Experience supporting a growing organization or working across multiple functional areas would be an asset.

The position is based in Fredericton, New Brunswick and is expected to be approximately 20–25 hours per week. While iTacit supports flexibility, regular presence at our Fredericton headquarters will be an important part of this role.

We can offer you:
- Competitive compensation of approximately $25–$29 per hour, commensurate with experience
- Approximately 20–25 hours per week
