Job Description
Jacksonport Dental is seeking an experienced, organized, and results-driven Dental Office Manager to lead the day-to-day administrative and operational functions of our dental clinic.
This is a leadership and management position, not a receptionist role. The successful candidate will be responsible for managing the front-office team, improving scheduling and patient flow, monitoring clinic performance, supporting staff accountability, and ensuring an exceptional patient experience.
We are looking for someone with strong dental office experience who can take ownership of operations, identify problems, implement solutions, and work closely with clinic management and the dental team to support continued growth.
Key Responsibilities
- Manage and oversee the daily operations of the dental office
- Lead, supervise, support, and hold the front-desk team accountable
- Ensure daily administrative tasks and clinic procedures are completed accurately and on time
- Optimize dentist, hygienist, and staff schedules to improve productivity and patient flow
- Monitor appointment scheduling, cancellations, no-shows, and schedule gaps
- Oversee patient recalls, hygiene reactivation, and overdue-patient follow-up
- Monitor new-patient inquiries, bookings, lead follow-ups, and conversion
- Follow up on outstanding treatment plans and unscheduled treatment
- Coordinate and track Invisalign, orthodontic, and other major treatment opportunities
- Monitor treatment acceptance and identify opportunities to improve case conversion
- Oversee accounts receivable and outstanding patient and insurance balances
- Review daily production, collections, deposits, and administrative reports
- Monitor clinic KPIs including production, collections, new patients, recalls, schedule utilization, case acceptance, cancellations, and accounts receivable
- Prepare and review weekly operational and performance reports with management
- Manage staff schedules, attendance, vacation requests, and coverage
- Assist with recruitment, onboarding, training, and performance management of administrative team members
- Conduct regular front-desk meetings, training, and follow-up
- Ensure clinic policies, systems, checklists, and SOPs are consistently followed
- Handle patient concerns and service-recovery situations professionally
- Maintain a high standard of patient service and communication
- Coordinate with dental labs, suppliers, service providers, and vendors
- Monitor office and clinical supply requirements and help control unnecessary expenses
- Maintain accurate records and documentation
- Identify operational challenges and implement practical solutions
- Work closely with dentists, hygienists, assistants, and management to achieve clinic goals
- Help create a positive, accountable, and team-oriented workplace culture
Qualifications
- Minimum 5-10 years of dental office experience required
- Previous experience as a Dental Office Manager, Dental Practice Manager, Treatment Coordinator, Senior Dental Coordinator, or Front Office Team Lead strongly preferred
- Strong knowledge of dental office operations and dental terminology
- Strong understanding of dental scheduling, insurance, treatment coordination, recalls, and accounts receivable
- Experience with Open Dental is a strong asset
- Demonstrated leadership and team-management abilities
- Strong communication, problem-solving, and conflict-resolution skills
- Excellent organizational and time-management abilities
- Comfortable working with clinic reports, KPIs, production targets, and performance goals
- Strong understanding of patient scheduling and dental practice productivity
- Ability to work independently, make decisions, and take ownership of responsibilities
- Professional and confident when handling patient concerns
- Ability to maintain confidentiality and handle sensitive information appropriately
- Strong computer and administrative skills
