Role: Jetport is looking for a motivated and highly organized Flight Coordinator to join our team.
This is a dynamic, client-facing position combining flight coordination, charter sales, customer service, and operational support. The Flight Coordinator manages the logistical requirements of charter flights from the initial client inquiry through completion of the trip, while working closely with clients, flight crews, maintenance personnel, FBOs, vendors, and other operational partners.
Responsibilities include coordinating aircraft and crew availability, catering, ground transportation and other trip requirements; preparing and maintaining charter quotes and flight records; communicating itinerary changes and operational updates; and ensuring flights are organized efficiently and operate on time.
The role also has an important commercial component. The Flight Coordinator will identify charter opportunities, develop client relationships, respond to inquiries, prepare quotes, negotiate bookings, and work to convert opportunities into confirmed flights while maintaining awareness of profitability and client expectations.
The successful candidate will be comfortable working in a fast-paced environment where priorities can change quickly and will demonstrate sound judgment, professionalism, attention to detail, and a proactive approach to solving operational and customer-service issues.
Role Description
- Coordinate all logistical aspects of charter flights, including aircraft selection, crew scheduling, catering, ground transportation and other trip requirements.
- Ensure flight details are accurately organized, communicated, recorded and executed.
- Communicate clearly and professionally with clients, pilots, ground personnel, vendors and internal departments.
- Act as a reliable point of contact for clients throughout their travel experience, from initial inquiry through post-flight follow-up.
- Respond promptly to charter inquiries, client requests and itinerary changes.
- Prepare charter quotes and maintain accurate records of sales and flight activities.
- Identify sales opportunities, develop client relationships and work to convert inquiries into confirmed bookings.
- Negotiate charter opportunities with an understanding of pricing and profitability.
- Maintain detailed customer information, preferences and special requests.
- Work with pilots and the operations team to identify additional flight or charter opportunities.
- Monitor market conditions, peak travel periods, holidays and industry trends to identify potential opportunities.
- Resolve operational issues quickly and creatively while minimizing disruption to clients and flight operations.
- Maintain accurate information within company CRM and operational systems.
- Collaborate effectively with colleagues and provide clear handovers when work must be transferred between shifts or team members.
- Coordinate flight planning requirements to ensure each trip is properly prepared and executed.
Qualifications
- 1–2 years of previous experience in aviation operations, charter sales, private jet chartering, or a sophisticated/high-end customer service environment is preferred.
- Bachelor's degree in Business Administration, Aviation Management, Sales, or a related field is considered an asset.
- Knowledge of flight planning principles, routing, schedules, and basic aviation regulations or willingness to learn quickly.
- Familiarity with aircraft types, operational considerations, and maintenance or FBO processes is an asset.
- Strong customer service skills, with a focus on client satisfaction, professionalism, and problem-solving under time pressure.
- Excellent communication skills, both written and verbal, with the ability to interact effectively with clients, crew, and internal teams.
- Relevant experience in aviation operations, dispatch, or travel coordination; prior business aviation or FBO experience is an advantage.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks and changing priorities in a fast-paced environment.
- Proficiency with standard office software and scheduling systems; familiarity with aviation or dispatch software is beneficial.
- Ability to work flexible hours, including evenings and weekends, as required.
