FF&E SR. PROJECT MANAGER
Toronto, ON | Full-Time
We’re growing…. and looking for an experienced FF&E Project Manager to join our team.
YOU'RE SOMEONE WHO...
You see the whole picture, but you don't miss the details.
You know that behind every beautifully executed interior is a tremendous amount of planning, coordination, follow-up, and problem-solving. You’re the person who keeps all of those moving pieces connected and makes sure nothing falls through the cracks.
You’re experienced managing high-end residential projects and understand what it takes to move a project from procurement through production, shipping, receiving, and installation. You know that a delayed order can affect a dozen other decisions, and you naturally think several steps ahead to keep things moving.
When a vendor misses a deadline, a shipment is delayed, or something arrives that isn't quite right, you don't wait for someone else to figure it out. You assess the situation, find a solution, communicate what needs to happen, and follow it through.
You take ownership.
You’re highly organized, exceptionally detail-oriented, and comfortable managing a lot at once. You can have dozens of orders, vendors, timelines, invoices, deliveries, and installation details moving simultaneously and still know exactly what needs your attention today, what needs attention next week, and what could become a problem down the road.
You also understand the creative side of the work. You appreciate beautiful interiors, exceptional materials, craftsmanship, and the level of detail required to bring a design vision to life. You know that your role isn't simply to manage logistics. It’s to help ensure the final result reflects the quality and intention behind the design.
If that sounds like you, we’d love to meet you.
THE ROLE
We’re looking for an experienced FF&E Sr. Project Manager to join our growing team and take a leading role in the operational and logistical execution of our residential interior design projects.
You’ll work closely with our design team, clients, vendors, contractors, warehouses, logistics partners, and installation teams, connecting all of the pieces from the moment an item is ordered through to the moment it is installed.
You’ll be responsible for:
- Managing multiple residential projects from procurement through final installation
- Building and maintaining detailed project schedules, procurement trackers, and installation timelines
- Managing FF&E orders, production schedules, lead times, deliveries, storage, shipping, customs, and installation logistics
- Coordinating communication between designers, vendors, contractors, warehouses, installers, and other project partners
- Tracking purchase orders, deposits, invoices, balances, shipments, and outstanding items
- Monitoring production and delivery timelines and identifying potential issues before they become project delays
- Coordinating domestic and international shipments and the logistics surrounding them
- Developing and managing detailed installation schedules
- Ensuring all required FF&E, trades, resources, and information are in place for successful installations
- Following up relentlessly on outstanding items and seeing issues through to resolution
- Troubleshooting unexpected challenges and developing practical solutions
- Maintaining clear, accurate, and organized project documentation
YOU'RE THE PERSON WHO...
Thinks ahead.
You’re rarely caught off guard because you’re already thinking about what needs to happen next. You understand how one missed deadline can affect an entire project and take action before it becomes a larger problem.
Owns the details.
You don't need to be reminded to follow up. You know where things stand, what's outstanding, who's responsible, and what needs to happen next.
Keeps things moving.
Projects rarely go exactly according to plan. You’re comfortable navigating changes, delays, unexpected issues, and competing priorities without losing momentum.
Knows how to communicate.
You can speak confidently with designers, vendors, clients, contractors, installers, and logistics partners. You know when something needs to be escalated and, just as importantly, how to communicate a problem while bringing a solution to the table.
Isn't afraid to take the lead.
You’re comfortable making decisions, asking questions, pushing for answers, and taking responsibility for getting things across the finish line.
Cares about how things are done.
You understand that exceptional projects require exceptional execution. You take pride in being thorough, prepared, responsive, and reliable.
WHAT YOU BRING
You have 5+ years of experience managing residential interior design projects, ideally within a high-end or luxury environment.
You bring:
- Proven experience managing complex residential interior design projects
- Strong knowledge of FF&E procurement, production, logistics, delivery, and installation
- Exceptional organizational and time-management skills
- The ability to manage multiple projects and competing priorities simultaneously
- Experience coordinating vendors, contractors, clients, and internal teams
- Strong written and verbal communication skills
- A highly developed attention to detail
- A proactive, solutions-oriented approach
- The ability to work independently and take full ownership of your responsibilities
- Confidence navigating changing priorities and unexpected challenges
- An appreciation for high-end residential interiors, quality, and craftsmanship
- Willingness and ability to travel internationally for projects and installations
BEHIND EVERY GREAT PROJECT
There’s a moment in every project when hundreds of individual decisions, orders, deliveries, conversations, and details finally come together.
The right person for this role is a big part of making that happen.
You’re the person making sure the fabric arrived, the custom piece is in production, the shipment is scheduled, the warehouse knows what’s coming, the installer has what they need.
You’re connecting the dots.
And when installation day arrives, you’ve already thought through the details that make the process feel effortless.
That’s the kind of person we’re looking for.
This is an opportunity to take on a high-ownership role within a design-driven team, working on sophisticated residential projects where the quality of execution matters just as much as the design itself.
If you’re an experienced project manager who loves bringing order to complexity, takes pride in getting the details right, and knows how to turn a great design into a beautifully executed project, we’d love to hear from you.
