Inventory Shipping Clerk

About the Role
We are seeking a detail-oriented Inventory Shipping Clerk to support international shipping, inventory management, customs documentation, invoicing, and duty drawback activities at our Burlington warehouse.
This hands-on role supports the movement of goods from manufacturing partners in China and Vietnam into Canada and onward to customers in the United States. The successful candidate will help ensure regulatory compliance, maintain accurate inventory records, support duty recovery, coordinate shipments, and prepare customer invoices using Inflow Inventory software.
The ideal candidate has experience with cross-border logistics, Canadian and U.S. customs processes, inventory systems, and warehouse documentation.
Key Responsibilities
Import and Export Operations
- Coordinate imports from China and Vietnam into Canada with customs brokers and carriers.
- Support the export of goods from Canada to the United States and other international destinations.
- Prepare and review commercial invoices, packing lists, bills of lading, certificates of origin, and applicable CFIA permits.
- Support CBSA export reporting and U.S. Customs and Border Protection entry requirements.
- Review HS tariff classifications and ensure accurate duty and tax assessments.
- Support CUSMA/USMCA compliance, trade sanctions, and import/export restrictions.
- Liaise with customs brokers to resolve shipment holds, discrepancies, and examinations.
- Track inbound and outbound shipments and provide timely status updates.
Duty Drawback
- Identify shipments eligible for duty drawback under the CBSA Duty Drawback Program.
- Prepare and support duty drawback claims for manufacturing, substitution, and unused goods.
- Maintain records of imported goods, re-exported goods, duties paid, and supporting documentation.
- Reconcile drawback refunds with submitted claims and investigate discrepancies.
- Maintain awareness of CBSA drawback requirements and claim procedures.
Inventory Management
- Conduct physical inventory counts and reconcile results with system records.
- Receive shipments and maintain accurate stock levels in Inflow Inventory or a comparable system.
- Process inventory adjustments and manage product locations.
- Investigate inventory discrepancies, damages, and shortages.
- Coordinate with warehouse staff on product handling, labelling, and storage.
- Prepare inventory reports covering stock levels, slow-moving items, and reorder requirements.
Invoicing and Documentation
- Create accurate customer invoices for outbound U.S. shipments using Inflow Inventory.
- Verify product descriptions, quantities, pricing, and export information.
- Maintain organized shipping, invoice, customs, and correspondence records.
- Support audit readiness and the required seven-year CBSA record-retention period.
- Coordinate with Finance to reconcile invoices and resolve billing issues.
Process Improvement and Administration
- Assist with logistics procedures, documentation, and standard operating procedures.
- Support internal and CBSA audits by providing complete and organized records.
- Identify opportunities to reduce freight costs, improve transit times, and streamline customs processes.
Required Qualifications
- 2–4 years of experience in logistics, trade compliance, inventory, shipping, or supply chain coordination.
- Direct experience with China/Vietnam-to-Canada imports and Canada-to-U.S. exports.
- Working knowledge of CBSA processes, HS tariff classification, CUSMA/USMCA rules of origin, and Canadian import/export regulations.
- Experience filing or supporting duty drawback claims with CBSA.
- Experience using Inflow Inventory or a comparable inventory management system.
- Strong attention to detail and organizational skills.
- Excellent written and verbal English communication skills.
- Ability to work onsite at the Burlington warehouse, Monday to Friday.
- Valid Transportation of Dangerous Goods certification.
- Safety shoes or boots are required.
- Valid walkie/powered equipment licence is required.
- Must be legally authorized to work in Canada.
Preferred Qualifications
- Post-secondary education in Supply Chain Management, International Business, Customs Administration, or a related field.
- CIFFA certificate, CSCMP designation, or another logistics or trade credential.
- Familiarity with the CBSA CARM portal and Release Prior to Payment program.
- Experience working with freight forwarders on FCL/LCL ocean shipments from China.
- Experience with warehouse inventory, international shipping, and customs documentation.
