About the Job
Koala Insulation of Winnipeg is growing quickly, and we're looking for someone to help us keep up with that growth.
We're looking for an Operations Coordinator to work directly with the owners and help manage the day-to-day operations of the business.
This isn't a position where you'll be doing the same thing every day. Some days you'll be coordinating crews and scheduling jobs, other days you'll be following up with customers, organizing materials, tracking invoices or figuring out how to make something work better.
We're a growing business, and while we've made a lot of progress, there's still plenty of room to improve how we do things.
We need someone who's organized, takes initiative and doesn't need to be told what to do every step of the way.
What You'll Be Doing
Scheduling & Job Coordination
- Coordinate estimates, installations, crews and customer schedules.
- Keep track of jobs from the initial inquiry all the way through to completion and payment.
- Communicate with customers, crews and suppliers to make sure everyone is on the same page.
- Stay ahead of scheduling conflicts, delays and changes.
- Make sure our crews have the information they need before heading to a job.
Administration & Systems
- Keep job files, paperwork, daily job sheets and internal records organized.
- Manage and update our scheduling and tracking systems.
- Help improve existing processes and create new ones where needed.
- Make sure important tasks and follow-ups don't get missed.
Finance & Bookkeeping Support
- Prepare invoices and follow up on outstanding payments.
- Track expenses, receipts and job-related costs.
- Work with our bookkeeper to keep financial records organized.
- Help us stay on top of what's been invoiced, what's been paid and what's still outstanding.
Materials & Inventory
- Keep track of materials and inventory.
- Coordinate orders and deliveries with suppliers.
- Make sure we have the right materials available for upcoming jobs.
- Help avoid unnecessary delays, shortages and last-minute supply runs.
Day-to-Day Operations
- Work directly with the owners to keep things moving.
- Help coordinate staff, customers, suppliers and ongoing projects.
- Identify problems and find ways to solve them.
- Look for opportunities to make things easier, faster and more organized.
- Take ownership of tasks and make sure they get finished.
What We're Looking For
We're looking for someone who takes pride in their work and genuinely cares about getting things done properly.
Someone who can manage multiple things at once without getting overwhelmed, communicate clearly and stay organized when plans change.
You don't need someone constantly checking in on you. If something needs to get done, you take care of it. If something isn't working, you speak up and help find a solution.
We're not expecting you to know everything on day one. But we do expect you to ask questions, learn quickly and take responsibility for your work.
A few things that matter to us:
- You're organized and good at managing your time.
- You follow through on what you say you're going to do.
- You're comfortable with spreadsheets, technology and learning new systems.
- You communicate well with customers, employees and suppliers.
- You can prioritize your workload and make decisions independently.
- You pay attention to the details.
- You're comfortable working in a busy environment where priorities can change.
- You don't mind rolling up your sleeves and helping wherever needed.
Experience in operations, administration, construction, logistics, bookkeeping or a service-based business would be an asset.
You don't need to know much about insulation. We can teach you that.

That means jobs are scheduled, crews know where they're going, customers are kept informed, materials are ready, invoices are sent and things aren't constantly falling through the cracks.
We also want someone who can look at how we're doing things today and help us figure out how to do them better tomorrow.
