The Law Society of BC is seeking a permanent, full-time Licensing Coordinator in our Registration & Licensee Services department. Reporting to the Director, Registration & Licensee Services, the Licensing Coordinator (LC) is tasked with regular day-to-day activities to ensure the core functions of the department are operating efficiently and effectively while carrying out the Law Society’s mandate.
The LC position plays a key role in overseeing the performance, productivity, and workflow for all student-related applications, while also processing assigned complex applications and change requests, and responding to inquiries from applicants, licensees, the public, and other stakeholders. This role monitors student application activities, addresses escalated applications, requests and inquiries, performs other student administration duties, and provides guidance and support to the team when needed. Acting as a key point of coordination across roles, the LC collaborates with internal and external stakeholders to support timely and effective service delivery. In addition, the LC monitors the department‘s phone and email operations to ensure inquiries are addressed within the established service standards. This role also leads process improvements initiatives, supports the implementation of departmental changes, and participates in broader organizational projects.
The duties of this position include:
- Review applicant eligibility, assess requirements, process complex, critical and urgent applications, submissions and requests in accordance with the Law Society’s regulatory framework including the Legal Profession Act, the Law Society Rules, and organizational and departmental policies and procedures. Process related financial transactions, including issuing invoices and refunds and accepting payments, as required.
- Respond to general and complex queries from applicants, lawyers, and other external parties.
- Monitor student application activities and the department’s phone and email operations to support timely processing and established service standards.
- Conduct follow-ups with applicants and students for assigned processes.
- Conduct quality reviews of application data and assigned applications to support accuracy, completeness and consistency.
- Provide guidance and operational support to staff across the department, including assistance with complex inquiries or applications, and application of legislation, policies, processes, and task prioritization, escalated matters and workload pressures.
- Liaise with internal and external partners to coordinate student-related activities.
- Lead department projects and support the implementation of process, system, and operational changes as assigned by the Director.
- Prepare affidavits and statutory declarations.
- Provide training to new department staff and other law society team/staff when assigned.
- Provide relief coverage and operational support for other departmental roles as required.
- Perform other related duties as required by the Director.
Qualifications
Education & Experience:
- Bachelor’s degree or an equivalent combination of education and experience.
- Minimum five years of relevant regulatory experience or equivalent combination of education and experience.
- Minimum of three years of supervisory experience or in other roles involving responsibility for guiding and supporting the work of others.
- Demonstrated experience processing and assessing regulatory applications, including complex applications, requests, or matters requiring interpretation and application of established requirements, policies and procedure.
- Direct experience with the Law Society’s registration and licensing applications, processes, and systems is a strong asset.
Regulatory & Legal Knowledge:
- Strong understanding of the role of regulation within the legal profession and legislative frameworks governing regulation is an asset.
- Knowledge of the Law Society’s regulatory framework, including applicable legislation, Rules, policies, procedures, and registration and licensing requirements, is a strong asset.
- Knowledge of the Law Society’s student enrolment, licensing, and related application processes is a strong asset.
- Experience in interpreting and applying legislation, rules, policies, and procedures to application assessment, operational decision-making, or day-to-day regulatory work.
- Knowledge of and experience in applying basic administrative law principles is an asset.
- Familiarity with legal terminology or formal legal training is an asset.
Communication & Team Collaboration:
- Strong verbal and written communication skills with proven ability to explain complex information clearly
- Demonstrated ability to provide guidance and operational support to colleagues on complex applications, processes, policies, and procedures.
- Ability to maintain tact, a calm demeanor, and objectivity when working with diverse groups or in high-stress situations.
- Experience in drafting, proofreading and editing broad communication materials and procedural manuals in clear, concise, plain language is an asset.
- Ability to develop and maintain effective working relationships with internal and external stakeholders.

Technical Proficiency
- Strong working knowledge of database management systems and Microsoft Office applications including Word, Outlook, and Adobe.
- Intermediate Microsoft Office Excel working knowledge including experience in reconciling data sheets and using Pivot tables for efficient statistical reporting.

The salary range for this position is $75,780 to $82,370.
