Role Description The Administrative Assistant is a full-time, 32 hours/week, on-site role based in Markham, ON. This role is responsible for providing day-to-day administrative and clerical support to the firm, including managing phone calls, greeting visitors, handling mail, and maintaining organized electronic and paper files. The Administrative Assistant will schedule appointments and meetings, prepare and format documents and correspondence, and assist with data entry related to bookkeeping and client records. The role includes supporting executive team members with calendar management, travel arrangements, and meeting preparation, as well as coordinating office supplies and ensuring a professional, well-organized front office. The role also requires basic skills to use QuickBooks Online and various CRM apps.
Qualifications
- Strong Administrative Assistance and Clerical Skills to manage daily office operations, filing, data entry, and documentation.
- Professional Phone Etiquette and Communication skills to handle calls, emails, and in-person inquiries with clarity and courtesy.
- Proficiency with office software (e.g., MS Office, email and calendar tools) and basic data entry in QuickBooks Online and document formatting skills.
- Excellent organizational skills, attention to detail, and ability to manage multiple tasks and deadlines in a busy office environment.
- Strong interpersonal skills and a client-focused mindset, with the ability to work collaboratively in a professional services setting.
- Previous experience in an accounting, professional services, or small business environment is an asset.
- Mandarin is a must.
