At Lindsay Lake Farms, our work brings together farming, forestry, hospitality, food, and tourism. We are looking for a capable Office Assistant to bring structure and continuity to the daily administration of this diverse, owner-operated business.
This role suits someone who enjoys taking responsibility, communicates with confidence and care, and understands that a task is only complete when the necessary follow-through has happened.
Your role
Working directly with the owners, you will keep information organised, enquiries moving, and everyday office processes running reliably. Your work will help ensure that guests, customers, suppliers, and business partners receive timely, professional attention.
Your responsibilities will include:
* Managing incoming emails and phone enquiries, handling routine correspondence, and identifying matters that require the owners’ attention.
* Coordinating bookings for accommodation, farm experiences, and events, with accurate records and clear guest communication.
* Preparing quotes, invoices, confirmations, and other business documents.
* Organising receipts, invoices, and supporting paperwork for bookkeeping.
* Maintaining digital files, calendars, contact records, and task lists.
* Tracking deadlines, outstanding enquiries, and commitments through to completion.
* Documenting recurring procedures and helping establish practical, consistent office routines.
What you bring
* Experience in office administration, customer service, hospitality coordination, or a comparable role.
* Excellent written and spoken English, with the ability to write clear, polished correspondence.
* Strong organisational skills, attention to detail, and sound judgement when priorities compete.
* Confidence using email, calendars, spreadsheets, and digital filing systems, alongside a willingness to learn booking and invoicing tools.
* A discreet and professional approach to confidential business and customer information.
* Dependable communication and the initiative to move work forward independently, while recognising when a decision needs to be referred to the owners.
