Our client is looking to add an Office Administrator to their team in Windsor, Ontario. This is an excellent opportunity for an organized, personable, and detail-oriented administrative professional who enjoys working in a fast-paced, client-focused environment.

What You’ll Be Responsible For:
- Acting as the first point of contact for clients and providing a professional, welcoming experience.
- Coordinating daily schedules and ensuring appointments are accurately entered, confirmed, and maintained.
- Managing incoming calls, emails, messages, and general inquiries and ensuring they are directed to the appropriate person.
- Monitoring the appointment calendar and taking a proactive approach to maximizing available time.
- Updating client information, maintaining records, and ensuring documentation is accurate and organized.
- Providing administrative assistance to management with correspondence, documents, scheduling, and other day-to-day needs.
- Organizing digital files and information through Google Drive and other office systems.
- Assisting with data entry, filing, document preparation, and general office administration.
- Following up with clients regarding appointments, inquiries, and outstanding information.
- Supporting the team with coordination and administrative tasks to keep daily operations on track.
- Helping identify scheduling conflicts, gaps, or other issues and addressing them proactively.
- Learning the company's services and products to confidently answer general client questions.
- Supporting client retention by encouraging future bookings and maintaining positive client relationships.
- Assisting with basic social media, marketing, or content-related tasks when required.
- Maintaining a clean, organized, and professional reception and office environment.
The Ideal Candidate:
- 1-3+ years of experience in office administration, reception, customer service, scheduling, or a similar role.
- Strong organizational abilities and excellent attention to detail.
- Confident and professional communication skills.
- Comfortable speaking with clients and handling inquiries by phone, email, and online messaging.
- Able to manage competing priorities while maintaining accuracy.
- Strong follow-through and the ability to see tasks through to completion.
- Self-motivated and comfortable working independently.
- Adaptable and willing to assist with a variety of administrative and operational tasks.
- Comfortable learning new technology and software systems.
- Experience with scheduling or booking platforms is considered an asset.
- Proficiency with Google Workspace and Microsoft Office is considered an asset.
- Previous experience in a client-facing, healthcare, wellness, beauty, hospitality, or professional office environment is an asset.
- Experience with social media or basic content creation is an asset.
- Comfortable with occasional outbound client follow-up and promoting services when appropriate.
