The Position
The ideal candidate will be focused, dependable, and an organized Parts Coordinator who keeps our team moving forward. This role is about efficiency, follow-through, and clear communication. This position supports our technicians and office employees by sourcing and ordering the required parts, coordinating with suppliers, and ensuring materials are ready when needed.

A willingness to learn and improve is important, as is the ability to stay organized in a fast-paced environment.
Role and Responsibilities:
- Coordinate with Parts Department/technicians on parts needed
- Prepare purchase orders, using third party software, and order parts
- Enter receipts and parts information into software to maintain inventory accuracy
- Ensure service orders are accurate, complete, and submitted in a timely manner
- Pick parts and complete paperwork to ship parts to customer locations, as needed
- Receive incoming shipments, verify contents against packing slips, and report discrepancies
- Label, organize, and store incoming parts in designated inventory locations
- Prepare shipments, including packaging, labeling, and arranging carrier pickups
- Maintain shipping and receiving records, including tracking numbers and delivery confirmations
- Coordinate with carriers and vendors to resolve shipping issues or delays
- Ensure compliance with shipping regulations and company procedures
- Maintain a clean and organized shipping/receiving area
- Other administrative duties as assigned
Qualifications:
- High school diploma or equivalent
- Minimum 1-3 years experience in an Administrative or similar position
- Excellent English communication skills (written and verbal)
- Team player with the ability to communicate and collaborate with others
- Excellent organizational skills and ability to multi task
- Proficient in Microsoft Office
- Willingness to learn new skills and software
- Ability to work Monday to Friday, with flexibility to work shifts between 7:00am - 5:00pm
