Contract Conformance Specialist (Construction Services)
Location: Calgary or Edmonton, AB
Overview
The Contract Conformance Specialist is responsible for managing the day-to-day administration and compliance of construction and maintenance service contracts on large capital projects. This role ensures contractual obligations are met, facilitates effective communication between project teams and contractors, and supports the resolution of contract-related issues throughout the project lifecycle.
Key Responsibilities
Contract Administration & Compliance
- Manage contract documentation, correspondence, and communications between the company and contractors.
- Ensure contractors comply with contractual requirements and project obligations.
- Review contractor submissions and notify contractors of any non-compliance issues or deviations.
- Maintain contract correspondence and document tracking logs.
- Support contract negotiations during the bidding and contract formation process.
Contract Documentation
- Assist in preparing contract exhibits, including:
- Scope of work
- Specifications
- Pricing schedules
- Special instructions
- Support the development and review of contract language and project-specific requirements.
- Coordinate with contract management and project teams to ensure all contractor clarifications and project requirements are incorporated into final agreements.
Change Management
- Manage the project change order process.
- Maintain change order logs and documentation.
- Prepare change directives and approved change orders.
- Review contractor-requested changes and coordinate approvals with project stakeholders.
Meetings & Communications
- Coordinate project communication plans.
- Prepare agendas and participate in contract-related meetings.
- Record and distribute meeting minutes.
- Prepare and issue contract-related correspondence with project team approval.
- Provide regular updates regarding contractual matters and project status.
Invoice & Payment Administration
- Review contractor invoices for contractual compliance.
- Coordinate invoice approvals with project stakeholders.
Monitor invoice processing through payment completion.
Contract Closeout & Audits
- Coordinate contract closeout activities.
- Ensure all contractual obligations are completed and documented.
- Maintain contract records in accordance with company retention procedures.
- Support internal and external compliance audits.
Qualifications
Education
- Bachelor's Degree in:
- Business
- Legal Studies
- Construction Management
- Engineering
- Technical Discipline
OR
- Associate Degree with relevant industry experience.
Experience
- 10+ years of experience in one or more of the following:
- Contract Administration
- Construction Contracts
- Legal/Paralegal Services
- Engineering Projects
- Construction Project Support
- Experience supporting construction projects within the energy, infrastructure, utilities, or pipeline sectors is considered an asset.
Required Skills
- Strong contract administration and documentation experience
- Excellent written and verbal communication skills
- Technical writing and correspondence drafting ability
- Strong organizational and document control skills
- Ability to manage multiple priorities simultaneously
- Experience coordinating with legal, project management, procurement, and construction teams
- Strong problem-solving and analytical abilities
- Advanced proficiency with Microsoft Office applications
Work Environment
- Supporting major construction projects.
- Assigned project portfolios may total up to $400 million annually.
- Frequent collaboration with project management, construction, legal, procurement, and contractor teams.
