This Opportunity:
We are currently looking for one full-time, 1-year contract Scheduling Systems Administrator to join our team at Cooperage Supportive Housing Programs in Central Toronto.
The Scheduling Systems Administrator will support the development and maintenance of client and staff schedules, ensuring staffing needs and program requirements are effectively met.
Salary: $21.90 per hour
Hours: Up to 37.5 hours per week
Schedule: Monday to Friday, 3:00 p.m. to 11:00 p.m., with alternating weekends and some flexibility to accommodate program scheduling needs
Responsibilities:
- Use the electronic Quatro Scheduling system to develop and revise master schedules for clients and staff in accordance with client service needs and budgeted hours
- Complete and revise block schedules, including call-ins and filling shifts as required
- Respond to client and staff calls in a timely manner and report concerns or issues to the Service Manager/Designate
- Schedule staff training and follow up on completion, including updating the 30-day overdue report
- Ensure policy manuals are printed and kept up to date at the program level
- Ensure communication binders are maintained and updated at programs
- Follow up on client feedback and consumer evaluations for staff performance reviews
- Ensure filing and documentation are completed, including Notes-to-File, Incident Reports, and archiving
- Carry the after-hours phone as part of a rotating on-call schedule to provide evening coverage for clients and staff
- Support all areas of Health and Safety within the programs
- Perform additional related responsibilities as required
Qualifications:
- High School Diploma or equivalent
- Ability to take initiative, multitask, and work effectively under pressure and within deadlines
- Proficiency with computer hardware and software, including MS Office, Navision, and Quatro or an equivalent scheduling system
- Excellent telephone manner and customer service skills
- Flexibility to adapt to changing job demands
- Excellent interpersonal and communication skills
- Strong math accuracy
- Excellent writing and proofreading skills
- Exceptional organizational skills
- Scheduling experience is considered an asset
- Reliable mode of transportation
