The Project Coordinator (PC) at Mawg Design plays a key role in supporting Project Managers and ensuring that all aspects of a project run smoothly, on time, and within budget. The PC acts as a bridge between various stakeholders, including the General Manager, CEO, administrative staff, and subcontractors. Your primary focus will be to manage and communicate project information effectively, ensuring everyone involved has access to the necessary resources to deliver projects to specification. You will be instrumental in helping to bring projects from concept to completion, ensuring smooth coordination across all project phases.
Scope of Responsibilities:Project Coordination:
- Assist the Project Manager (PM) in developing and executing the project plan in collaboration with the General Manager (GM), Production Manager, and Production Designer.
- Disseminate project milestones, timelines, and updates through project management tools (e.g., Monday.com) to keep all parties informed.
- Ensure projects are documented accurately within the system and that project progress is continually tracked.
Schedule & Resource Management:
- Manage project schedules, logistics, and resources, including the installation and de-installation of projects.
- Help coordinate subcontractors, sub-trades, and external fabricators, ensuring labor is scheduled as required for each project.
- Procure necessary supplies and materials, collaborating with production and logistics teams to ensure timely delivery.
Budget & Financial Tracking:
- Monitor expenses throughout the project, ensuring that expenditures align with the initial project estimate created by the GM.
- Ensure that change orders and additional expenses are approved by the Project Manager and are accurately tracked.
- Assist with submitting project expense documentation, ensuring it is categorized properly for reporting.
Stakeholder Communication & Documentation:
- Keep all relevant stakeholders informed of project progress through regular meetings, providing updates, and taking minutes when necessary.
- Maintain detailed project files, including contacts, timesheets, resources, and reports.
- Ensure that all project templates are filled out and kept up-to-date.
Procurement Support:
- Support projects by researching, purchasing, and coordinating the delivery of materials and supplies.
- Coordinate purchasing of pre-built project components like furniture, while ensuring production materials and electronic components are handled by the respective teams.

Qualifications & Skills:- Strong organizational skills and attention to detail.
- Excellent communication abilities, both written and verbal.
- Experience with project management tools is preferred.
- Ability to manage multiple tasks simultaneously and adapt to changing project needs.
- A collaborative mindset with the ability to work well with diverse teams and stakeholders.
- Previous experience in a project coordination or similar role is an asset.

Working Conditions
- Full-time, in-person role based at our Toronto office
- Standard hours are Monday to Friday, 9:00 AM to 5:00 PM
- Occasional evening or weekend work may be required to meet project deadlines
- Fast-paced, collaborative environment requiring strong organizational skills
- Primarily office-based with occasional physical activity (event prep, materials handling)
- Occasional travel for client meetings, site visits, or events
