Fuel & Lube Dispatcher
Reporting to the Superintendent or designate, the Fuel & Lube Dispatcher is the primary point of contact between Mine and Plant Operations and the Fuel & Lube team at the Mildred Lake site, supporting the mine and plant fuel scope under the Suncor Fuel and Lube Distribution Contract. The Dispatcher receives, prioritizes and dispatches fuelling requests, plans and optimizes fueling routes, monitors fuel, lubricant and DEF inventory, and maintains accurate records and reporting to support safe, reliable service delivery. This position works a 7 days on, 7 days off rotation of 12-hour day shifts.
Key Responsibilities:
Dispatch & Request Management:
- Serve as the primary point of contact between Mine and Plant Operations and the Fuel & Lube team for fuelling-related issues.
- Receive, review and action ServiceNow fuel requests.
- Dispatch and prioritize fuelling requests, and ensure all callouts have an active fuel request.
- Promote the submission of fuel runout requests for tracking purposes, and investigate all reported fuel runouts.
- Dispatch Leads for first-fill inspections.
- Maintain accurate dispatch records for callouts and one-time fill requests.
Routing & Planning:
- Develop and distribute fuelling routes to Shift Leads, and collaborate with Leads to optimize routes.
- Prepare and distribute daily lineup sheets and shift reports.
- Follow up with Mining on daily equipment lineups and traffic flow changes.
- Prepare and review shift crossover communications with Leads.
- Forecast workforce requirements and communicate them to leadership.
Inventory & Bulk Transfers:
- Prioritize bulk fuel transfers based on module inventory levels, and escalate inventory concerns based on forecasted demand.
- Provide daily module lubricant and DEF inventory levels to Operations.
- Obtain weekly lubricant inventory updates from Plant Operators.
- Monitor fuel consumption trends and utilization using AdaptIQ and iPad data.
Systems, Records & Reporting:
- Maintain ServiceNow records and update AdaptIQ equipment data.
- Submit daily fuel consumption, DEF and lubricant delivery reports.
- Maintain the equipment reliability log.
Communication & Escalation:
- Communicate equipment delays and accessibility issues to business units.
- Monitor Mining leadership communications and provide updates as required.
- Report FMS issues to Coordinators/InnoFlo and module maintenance concerns to the Maintenance Lead.
- Escalate operational issues that may impact service delivery or production.
Safety & Compliance:
- Track dispatch-related safety calls, including requests sent without complete information, unsafe or inaccessible locations, last-minute route changes, and work stopped or deferred for safety reasons.
- Review dispatch records against incidents and near misses monthly to identify recurring issues involving routing, access, communication, workload, inventory or equipment availability.
- Ensure all dispatch activities are performed in compliance with safety regulations, company policies, and client site requirements.

Qualifications & Requirements
High school diploma or equivalent
Previous dispatch, logistics or operations experience is preferred.
Strong organizational, communication and problem-solving skills.
Proficiency in Microsoft Office; experience with ServiceNow or similar systems is an asset.
Strong attention to detail and commitment to workplace safety.
Ability to work independently and manage competing priorities.
Work Schedule
This position follows a 7-days-on, 7-days-off rotation consisting of 12-hour day shifts at the Mildred Lake site.
