Your Impact
You will own the delivery and continuous improvement of workplace operations and office services activities that support a seamless, compliant, and high-quality office experience.
You will serve as a subject matter expert across multiple workplace service areas, driving operational excellence, process adoption, stakeholder engagement, and continuous improvement initiatives. By applying structured problem-solving, operational expertise, and sound judgment, you will manage complex operational activities, influence stakeholders, improve service delivery, and ensure complete alignment with firm standards. Furthermore, your work involves coaching and mentoring colleagues, driving the adoption of best practices, and leveraging data, technology, and operational insights to constantly improve workplace services and business outcomes.
To ensure services remain effective and aligned with business needs, you will actively oversee daily operations and act as a primary guide for colleagues and stakeholders. You will coordinate and oversee a comprehensive range of workplace services, which includes meeting room operations, facilities management, catering and pantry services, health and safety programs, front desk operations, visitor management, mail and package services, transportation, print services, and event support. By driving the adoption of operational processes, policies, and best practices, you will influence stakeholders to maintain consistent execution and high service quality across all areas.
In addition to day-to-day oversight, you will be responsible for the strategic and administrative health of office operations. This involves developing and improving operational procedures, documentation, controls, and service delivery standards. You will manage crucial vendor relationships, oversee operational budgets, handle inventory, and process invoicing and expenses in strict accordance with firm policies and compliance requirements. You will also support workplace health, safety, security, and access management programs, ensuring full compliance with both firm and building-specific requirements.
A key aspect of this position is fostering a culture of modern efficiency and continuous improvement. You will apply structured problem-solving approaches to identify root causes of operational issues, mitigate risks, and implement sustainable solutions. By analyzing operational data, client feedback, and performance metrics, you will identify trends and generate actionable insights. You will champion the use of technology, automation, and reporting tools to improve efficiency, while leading continuous improvement efforts to streamline processes and enhance the overall workplace experience. Finally, you will coach, mentor, and train colleagues on systems and service standards, fostering a collaborative environment of shared knowledge and operational excellence.
Your Qualifications and Skills
- University degree and/or advanced certifications in office management, facilities management, hospitality, business administration, or a related field preferred.
- Significant experience supporting workplace operations, office services, facilities management, hospitality, or administrative operations, preferably within a professional services or corporate environment
- Experience leading operational initiatives, coordinating vendors and stakeholder groups, and driving process improvements
- Builds strong stakeholder relationships and influences adoption of operational processes, policies, and best practices
- Independently manages complex operational priorities, projects, and service delivery activities
- Applies advanced problem-solving skills to identify root causes, assess risks, and implement sustainable solutions
- Demonstrates strong organizational, planning, and prioritization capabilities while coordinating multiple initiatives
- Coaches and develops colleagues, fostering collaboration, knowledge sharing, and continuous improvement
- Applies deep knowledge of workplace operations, facilities, hospitality, administrative services, compliance requirements, and operational controls
- Ability to work in-person M-F (team schedules and office locations may vary, must be able to travel to Vancouver)
