Role Summary
The Project Coordinator - Medical Gas is responsible for supporting the successful planning, execution, documentation, and closeout of medical gas projects within healthcare, institutional, and laboratory environments. This role provides administrative, technical, and operational support to Project Managers and field teams while ensuring compliance with project specifications, CSA standards, client requirements, and company procedures.
The Project Coordinator acts as a liaison between clients, consultants, subcontractors, suppliers, field personnel, and internal stakeholders, ensuring project information is accurate, current, and effectively communicated.

Duties and Responsibilities:
Project Administration
- Assist Project Managers with project startup, planning, execution, and closeout activities.
- Create and maintain project files in Procore, SharePoint, and other project management platforms.
- Track project milestones, schedules, deliverables, and procurement activities.
- Coordinate project documentation including contracts, purchase orders, submittals, RFIs, shop drawings, and change notices.
- Manage distribution and filing of project correspondence.
Document Control
- Maintain drawing and document registers.
- Track revisions to contract drawings, specifications, and design changes.
- Ensure all project documentation is organized, current, and accessible to project teams.
- Assist with turnover documentation and project closeout packages.
Procurement & Equipment Coordination
- Coordinate release and procurement of medical gas equipment, source systems, alarms, outlets, and specialty equipment.
- Monitor manufacturing and delivery schedules for long-lead equipment.
- Coordinate material deliveries and site logistics with suppliers and field personnel.
- Track equipment lead times and communicate potential schedule impacts.
Client & Consultant Coordination
- Attend project meetings and prepare meeting minutes and action item logs.
- Coordinate communication with clients, consultants, healthcare representatives, and general contractors.
- Follow up on outstanding submissions, approvals, and project requests.
- Maintain strong professional relationships with internal and external stakeholders.
Field Support
- Support site teams with project documentation requirements.
- Coordinate inspections, testing, commissioning, verification, and turnover activities.
- Assist foremen and project managers with scheduling of shutdowns, tie-ins, and commissioning activities.
- Monitor site progress and update project tracking tools.
Health, Safety & Quality
- Ensure all project safety documentation is up to date, including WSIB documentation, site-specific safety plans, Certificates of Insurance, training records, and contractor compliance documentation.
- Support implementation of Project Quality Plans (PQP).
- Maintain quality control and turnover records.
- Promote compliance with Modern Niagara, OX2 Medical, client, and regulatory standards.

Must-haves:
- 2-5 years of experience in construction project coordination.
- Experience working on mechanical, plumbing, healthcare, or infrastructure projects.
- Proficiency with Microsoft Office Suite, Excel, Outlook, and Procore or equivalent project management software.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects and priorities simultaneously.
Nice-to-haves:
- Diploma or degree in Construction Management, Engineering Technology, Project Management, Mechanical Engineering Technology, or a related discipline.
- Experience in healthcare construction environments.
- Knowledge of medical gas systems.
- Understanding of CSA Z7396.1, CSA standards, and healthcare project requirements.
- Previous experience with P3, hospital, or institutional projects.
This is new position. Expected annual compensation; $50,000 - $65,000
