Position Summary
NABS Workforce Solutions is seeking a confident, professional, and organized Office Administrative Assistant for a full-time, three-month contract position at our Calgary office.
This is a client-facing administrative position with a strong focus on outbound client communication and business outreach. A significant portion of the workday will involve contacting existing and prospective clients by telephone, following up on staffing requirements, introducing NABS Workforce Solutions’ services, maintaining client relationships, and documenting follow-up activities.
The successful candidate will also provide general administrative and clerical support to ensure efficient day-to-day office operations.
Key Responsibilities
- Make regular outbound calls to existing and prospective clients to introduce and promote NABS Workforce Solutions’ staffing and workforce services.
- Contact businesses to identify potential staffing requirements and business opportunities.
- Conduct follow-up calls with prospective and existing clients and maintain professional relationships.
- Communicate professionally with business owners, managers, HR representatives, hiring managers, candidates, and other contacts.
- Record client conversations, contact information, staffing requirements, follow-up dates, and outcomes accurately.
- Schedule follow-up calls, appointments, and meetings for management when required.
- Respond to incoming telephone calls, emails, correspondence, and general inquiries.
- Assist with preparing and sending introductory emails, staffing information, proposals, and other client correspondence.
- Maintain and update client, candidate, and business-development records and databases.
- Conduct basic research to identify prospective businesses and appropriate contacts for client outreach.
- Provide general administrative and clerical support to management and other team members.
- Organize and maintain electronic and physical files, documents, and office records.
- Assist with scheduling meetings, appointments, and maintaining calendars.
- Prepare and format basic reports, presentations, letters, spreadsheets, and other business documents.
- Perform data entry and ensure records are accurate and up to date.
- Welcome and assist candidates, clients, employees, and visitors to the office.
- Handle confidential client, candidate, employee, and business information appropriately.
- Perform other administrative and client-support duties as assigned.
Qualifications
- Strong telephone communication and client relationship skills are essential, as a significant portion of this position involves outbound client calling and follow-up.
- Comfortable making a high volume of outbound calls to businesses and prospective clients.
- Confident communicating with business owners, managers, HR representatives, hiring managers, candidates, and other professionals.
- Professional telephone etiquette and strong verbal and written communication skills.
- Ability to introduce company services professionally and engage prospective clients in conversation.
- Ability to follow up consistently with prospective clients and maintain accurate records of conversations and next actions.
- Experience in customer service, client outreach, sales support, business development, telemarketing, recruitment, or staffing is considered a strong asset.
- Strong administrative and clerical skills, including document organization, calendar management, filing, and correspondence.
- Proficiency with Microsoft Office and/or Google Workspace.
- Strong data-entry and record-management skills with attention to accuracy.
- Excellent organizational, time-management, and prioritization abilities.
- Ability to manage multiple responsibilities effectively in a busy office environment.
- Professional, dependable, self-motivated, and comfortable taking initiative.
- Ability to work collaboratively with diverse teams while maintaining a respectful and service-oriented approach.
- Previous experience in an office, administrative, staffing, recruitment, or HR environment is preferred.
- Post-secondary education or training in business administration, office administration, human resources, marketing, or a related field is considered an asset.
Contract Terms
This position is offered as a full-time, three-month fixed-term contract based at the NABS Workforce Solutions office in Calgary, Alberta.
Continuation or extension beyond the initial three-month contract may be considered based on performance, business requirements, and mutual agreement.
