Nanaimo Ladysmith Public Schools (NLPS) is seeking an organized, resourceful, Administrative Assistant to support our Information Technology Department. Reporting to the Director of Information Technology, you will help coordinate departmental administration, purchasing, communications and projects within a collaborative team environment.

About The Role
Primary Duties and Responsibilities
- Track purchasing, orders, expenses and budgets, and support monthly and annual accounting processes.
- Maintain asset, inventory, vendor, contract and licence records; coordinate equipment purchases and renewals.
- Support service request triage and tracking, change management records, and user account and access administration.
- Support IT projects through research, documentation, scheduling and progress reporting.
- Prepare correspondence, reports, meeting minutes and procedures; maintain departmental records and confidential information.
- Update departmental websites, portals and knowledge resources, and prepare presentations, newsletters and other communications.
- Perform other related duties as required.
Required Qualifications And Experience
- A two-year diploma in Business Administration or Business Management, including accounting and project management courses and an emphasis on modern business software, or an equivalent combination of training and experience.
- At least two years in a senior assistant position, plus at least one year in a technical support department using current digital platforms.
- Keyboarding speed of at least 60 words per minute with accuracy.
- Extensive knowledge of Microsoft Office, strong skills in spreadsheets, databases and desktop and online publishing tools, and competence with standard office and computer equipment.
- Excellent organizational, interpersonal and written communication skills, including accurate preparation of reports and correspondence.
- Ability to manage competing priorities, meet deadlines and work accurately under pressure, independently and collaboratively.
- Strong research, analytical and problem-solving skills; sound judgment and initiative in applying policies and recommending improvements.
- Ability to handle sensitive information with discretion, diplomacy and confidentiality.
- Ability to lift and move medium/heavy objects throughout the day.

Assignment: This is a continuing 12-Month CUPE Local 606 position, due to commence as soon as practicable.
Wage: The rate of pay for this position is $31.78 per hour based on a 35-hour work week, with a competitive benefits and pension package.
