Role Description
The Business Operations Coordinator is a full-time, on-site position in Vaughan, Ontario, working closely with the Owners to keep daily business operations organized and running efficiently. This hands-on role spans full-cycle bookkeeping, accounts payable and receivable, bi-weekly payroll, HR administration, customer service, and order and shipping coordination.
You will maintain accurate financial and employee records, coordinate with customers, suppliers, carriers, and the external accountant, and follow through on deadlines and outstanding tasks. Beyond daily administration, you will help build systems, improve workflows, and provide management with reliable information for decision-making.
This role suits someone who enjoys variety, exercises sound judgment, handles confidential information carefully, and takes ownership of responsibilities from start to finish. Required Qualifications
- At least two years of relevant experience in business administration, bookkeeping, or operations coordination.
- Hands-on experience with full-cycle bookkeeping, including accounts payable and receivable, invoicing, reconciliations, and month-end support.
- Experience processing payroll and maintaining accurate employee, timekeeping, and leave records.
- Proficiency with accounting software, Microsoft Excel, and cloud-based office tools.
- Strong organizational skills, attention to detail, and the ability to manage competing priorities and meet deadlines.
- Ability to track data, prepare basic financial and operational reports, and identify discrepancies or process improvements.
- Clear, professional communication and customer service skills when working with customers, suppliers, employees, and service providers.
- Ability to work independently, exercise sound judgment, and take ownership of tasks from start to finish.
- Discretion when handling confidential financial, payroll, and employee information.
- Willingness to learn, adapt, and work across multiple functions in a small, growing business.
Preferred Assets
- Sage Accounting experience and familiarity with Canadian payroll, HST, and WSIB administration.
- Experience coordinating orders, shipping, purchasing, or inventory.
- Experience with employee onboarding, offboarding, and HR documentation.
- Experience supporting a small-business owner or working in food manufacturing, distribution, or consumer packaged goods.
- Post-secondary education in business administration, accounting, or a related field, or equivalent practical experience.

- $55,000 – $60,000 per year, based on experience.
