About the Role
We are seeking a detail-oriented Administrative Assistant – Intermediate to support child care staff certification and credential assessment operations. The successful candidate will serve as a key contact for educators, child care operators, parents, and other stakeholders while processing Canadian and international educational credentials, maintaining accurate records, and supporting certification decisions.
This role requires strong customer service, analytical skills, attention to detail, and the ability to interpret policies and procedures while managing a high volume of inquiries and administrative tasks.
Key Responsibilities
- Respond to phone and email inquiries from educators, operators, parents, and the public.
- Explain certification requirements, policies, procedures, assessment processes, and upgrading options.
- Assess Canadian and international educational credentials against applicable child care staff certification standards.
- Review educational programs and make certification decisions or recommendations in accordance with policies and legislation.
- Manage first-level certification appeals and process qualification exemptions within assigned authority.
- Enter, maintain, and validate client information in CCIS and ECDS.
- Open and maintain client files, verify supporting documents, and ensure data accuracy.
- Provide administrative support through scanning, data entry, correspondence, file management, and document processing.
- Assist clients with forms, online applications, and document submissions.
- Support onboarding, training, and reassessment activities for assessors and administrative staff.
- Liaise with educational institutions and assessment bodies to verify credentials.
- Support system testing, process improvements, and the development of guides, forms, certificates, and communication materials.
- Handle sensitive inquiries professionally, de-escalate difficult interactions, and prioritize urgent requests.
Mandatory Skills & Qualifications
- Strong customer service and communication skills, including professional telephone and email support.
- Experience reviewing documents, validating information, and maintaining accurate records.
- Strong analytical skills with the ability to interpret policies, procedures, and assessment requirements.
- Excellent attention to detail and data-entry accuracy.
- Ability to manage high inquiry volumes, prioritize competing tasks, and meet deadlines.
- Strong written communication and documentation skills.
- Ability to handle sensitive information professionally and maintain confidentiality.
- Proficiency with office applications, databases, and electronic records systems.
Preferred Skills
- Experience in credential assessment, certification processing, or educational qualification review.
- Experience with child care, education, licensing, or regulated public-sector programs.
- Familiarity with CCIS and ECDS.
- Experience handling appeals, exemptions, or decisions requiring policy interpretation.
- Experience supporting system testing, process improvement, and user documentation.
- Experience training or mentoring administrative staff.
- Experience communicating with educational institutions and credential assessment organizations.
