As we expand into our downtown Vancouver flagship location, we are seeking a highly capable Operations Manager to lead execution, elevate patient experience, and drive performance across all aspects of the clinic.
Position Overview
The Operations Manager will oversee the full operational performance of the clinic, including staff management, patient experience, revenue optimization, and regulatory compliance. This is a senior leadership role requiring both strategic thinking and hands-on execution within a high-end cosmetic clinic environment.
The ideal candidate MUST have substantial experience working in established cosmetic, medical aesthetics, or private aesthetic clinics in Canada and must understand the operational standards, patient expectations, and sales-driven nature of the Canadian cosmetic clinic industry.
You will be responsible for ensuring that every aspect of the clinic operates at the highest standard, aligned with Nexx MD’s premium brand positioning.
Key Responsibilities
Operations & Performance
- Oversee day-to-day clinic operations, ensuring efficiency, professionalism, and consistency
- Monitor KPIs, revenue targets, and cost controls
- Implement systems to improve workflow, patient flow, and overall productivity
- Ensure smooth coordination between front desk, nurses, physicians, and aesthetic providers
Team Leadership & HR
- Recruit, train, and manage clinical and administrative staff
- Conduct weekly performance reviews and ongoing staff development
- Maintain a high-performance, service-oriented culture consistent with luxury cosmetic clinics
- Ensure staff presentation, professionalism, and patient interaction standards are maintained at all times
Patient Experience
- Ensure exceptional, concierge-level patient experience from first contact to follow-up
- Oversee front desk operations, consultations, and service delivery standards
- Handle escalations professionally and ensure high patient satisfaction and retention
- Understand the expectations and service standards typical within premium cosmetic clinics in Canada
Sales & Growth
- Drive revenue through packages, memberships, skincare, injectables, and service optimization
- Work closely with marketing to improve lead conversion and retention
- Track and improve booking efficiency and sales performance
- Support growth initiatives and expansion strategies
Compliance & Administration
- Ensure compliance with all applicable BC healthcare and clinic regulations
- Oversee scheduling, reporting, inventory management, and operational documentation
- Maintain clinic standards, cleanliness, organization, and presentation at all times
Qualifications
- Minimum 5–10 years of experience working in cosmetic clinics, medical aesthetics clinics, or private aesthetic clinics in Canada REQUIRED
- Minimum 3 years in a leadership or management role within a cosmetic or medical aesthetics clinic in Canada REQUIRED
- Candidates without direct cosmetic clinic experience in Canada will not be considered
- Strong understanding of Canadian cosmetic clinic operations, patient expectations, and sales processes
- Strong understanding of Vancouver/BC healthcare and clinic regulations
- Proven experience in team management, sales performance, and clinic operations scaling
- Exceptional communication, leadership, and organizational skills
- Ability to work on-site full-time (this is not a remote role)

The Branch Manager collaborates closely with clinical leadership to align operational practices with Nexx MD’s standards of care and growth objectives.
Qualifications
- Experience in clinic, spa, or healthcare operations management, including staff supervision and day-to-day branch administration.
- Strong customer service and client relationship skills, with the ability to create a welcoming, responsive, and professional environment.
- Competence in scheduling systems, basic financial tracking (e.g., billing, reporting, budgeting support), and inventory management.
- Skills in team leadership, performance coaching, and conflict resolution, with a collaborative and inclusive management style.
- Ability to support local marketing efforts, community outreach, and promotion of services in alignment with brand standards.
- Excellent organizational skills, attention to detail, and the ability to prioritize and manage multiple tasks in a fast-paced setting.
- Strong written and verbal communication skills in English; additional languages are an asset.
- Previous experience in a medical aesthetics, wellness, or healthcare environment is preferred.
- Post-secondary education in business, healthcare administration, or a related field is an asset, or equivalent combination of experience and training.
