The Role
We are looking for a highly detailed, dynamic, and experienced Wholesale Operations Coordinator to oversee our order entry, fulfilment, inventory management, and end-to-end wholesale logistics process. In this role, you will act as the key liaison between major retail clients, 3PL partners, customs brokers, and internal sales and production teams.
The ideal candidate possesses strong analytical skills, a problem-solving mindset, and hands-on expertise with EDI order processing, inventory allocation, and international/domestic shipping coordination.
This role reports into the Global Sales Director.
Key Responsibilities
1. Wholesale Order Management & EDI Processing· Process, allocate, and track wholesale purchase orders (POs) from major retail accounts
· Manage EDI operations, including validating orders, sending ASNs (Advanced Shipping Notices), creating packing slips/pick lists, and invoicing completed shipments.
· Monitor order fulfilment timelines, handle order cancellations, substitutions, and backorders, and update delivery schedules in real time.
2. Logistics, Freight & Customs Coordination· Coordinate day-to-day domestic and international inbound/outbound shipments across North America and international destinations.
· Partner closely with carriers, freight forwarders, 3PL warehouses, and customs brokers to ensure timely pickup and delivery.
· Prepare and audit international customs documentation (Commercial Invoices, USMCA, Certificates of Origin, HS Code classifications).
· Audit freight and customs brokerage invoices against negotiated rates; resolve rate discrepancies, damage/shortage claims, and shipping disputes.
3. Inventory Control & Systems Integration· Maintain inventory accuracy across ERP and inventory management systems (e.g., Shopify, NetSuite).
· Run and analyse key inventory reports, including Available to Sell (ATS), inventory reconciliations, and sales by commodity.
· Coordinate inventory allocations to match production schedules and customer delivery expectations.
4. Client Compliance & Customer Service· Serve as the operational point of contact for major key accounts regarding order status, routing guidelines, and delivery requirements.
· Issue Return Authorizations (RAs) and manage claims related to damage, shortages, or delivery discrepancies.
· Ensure strict adherence to retail customer compliance guidelines to minimize chargebacks and delays.
Qualifications & Requirements· Experience: 3+ years of experience in wholesale order management, logistics coordination, or supply chain operations (apparel, consumer goods, or manufacturing experience preferred).
· Education: A Bachelor’s Degree or Colleag Diploma (DEC), plus 2-3 years of experience
· EDI & Systems Knowledge: Proficiency in EDI order management and hands-on experience with ERP/Inventory systems is a plus
· Freight & Customs: Sound understanding of domestic/international shipping, incoterms, customs documentation (USMCA/COO), and HS codes.
· Software Proficiency: Advanced skills in Microsoft Excel and MS Office suite.
· Skills: High attention to detail, strong quantitative and analytical skills, excellent problem-solving ability, and superior interpersonal communication skills.
· Languages: Professional working proficiency in English and French
