Executive Assistant

We are ready to take this game to the next level and need someone passionate about providing exceptional executive support and helping leaders operate at their best. As an Executive Assistant, you will play a critical role in supporting senior leaders by managing priorities, coordinating complex schedules, facilitating effective communication, and ensuring day-to-day operations run smoothly. This role is ideal for a highly organized, confident, and personable professional who thrives in a fast-paced environment and enjoys building strong relationships across all levels of an organization.

YOUR ROLE IN THE GAME

Reporting to the Chief Lottery Officer, you will be empowered to:

Manage and coordinate complex executive calendars, meetings, and schedules while proactively resolving conflicts and competing priorities.
Organize and prepare meeting materials, agendas, briefing packages, and supporting documentation to ensure leaders are fully prepared for meetings and events.
Manage incoming communications, including emails, phone calls, and inquiries, prioritizing matters appropriately and escalating urgent issues when required.
Provide administrative support on a variety of requests and initiatives, ensuring timely and accurate execution.
Prepare correspondence, presentations, reports, spreadsheets, and other business documents for internal and external stakeholders.
Coordinate departmental and divisional meetings, events, and team activities while managing all associated logistics.
Arrange executive travel and process travel-related expenses in accordance with corporate policies and procedures.
Prepare, track, and submit expense reports while ensuring accuracy, completeness, and compliance with expense directives.
Coordinate invoice processing and work closely with Finance to ensure timely payment and resolution of discrepancies.
Maintain filing systems, records, and archives in accordance with records management requirements and support operational onboarding activities for new team members.

WHAT YOU BRING TO THE GAME

Education & Experience:

University degree, college diploma, or equivalent combination of education and experience.
Minimum 3 years of experience in an Executive Assistant, Administrative Assistant, Legal Assistant, Office Manager, or similar administrative support role.
Experience supporting senior leaders and managing confidential or sensitive information.
Experience coordinating complex calendars, meetings, travel arrangements, expense reporting, and executive correspondence.
Experience working in a professional, corporate, legal, or other fast-paced environment.
Legal office, professional services, or executive support experience is considered an asset.
Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.

Strong multitasking abilities and the capacity to work effectively in a fast-paced environment.
