The Role

We are looking for a full-time Office Administrator / Receptionist to join our Surrey, BC office immediately. In this on-site role you will keep the office running smoothly: managing daily operations, maintaining equipment, coordinating schedules, and supporting clear communication. You will be the first point of contact for clients and visitors and will help sustain a workplace that supports our collaborative, creative culture.

The ideal candidate is proactive, highly organized, and comfortable multitasking in a fast-paced environment, with strong administrative, clerical, and communication skills and experience managing office systems and vendors.

Just as importantly, you are cheerful, frank, and open by nature: someone who brings warmth and good humour to the front desk, communicates honestly and directly, and fits naturally into a friendly, collaborative team.

Key Responsibilities

Manage front desk operations, greeting visitors and handling multi-line phones with professionalism and courtesy
Oversee HR functions, including onboarding, training and development, and employee record keeping
Handle bookkeeping tasks in QuickBooks, including expense tracking
Maintain accurate filing systems for documents, contracts, and vendor information
Assist with payroll processing, ensure timely submission of employee hours, and support benefits administration
Coordinate vendor management, including procurement and service scheduling
Support team management by supervising administrative staff and facilitating communication across departments
Organize meetings, prepare agendas, and manage scheduling to keep the office productive
Arrive earlier than the rest of the team to prepare the office for the day
Ensure adherence to office policies, procedures, and budget guidelines

Qualifications

Proven experience in administrative assistance and office administration
Experience with office equipment and tools to keep daily operations seamless
Exceptional communication and customer service skills for working with team members, clients, and partners
Cheerful, approachable personality, with a frank and open communication style
Strong time management, organizational skills, and attention to detail
Proficiency in Microsoft Office Suite and other office management software
Ability to work on-site at our Surrey, BC office

Assets:

Prior experience in an architecture, design, or creative firm
Post-secondary education in Business Administration or a related field

Compensation & Schedule

Salary: $24 to $26 per hour, depending on experience

Hours: Full-time, Monday to Friday, [8:45 AM - 5:00 PM]. Early arrival is required to prepare the office for the day.
