Position Summary
Parts Canada is looking for an organized, approachable and motivated HR Coordinator to join our Human Resources team in London.
This is a junior-level HR opportunity designed for someone who is interested in building practical, hands-on experience across many areas of Human Resources. Previous HR experience is helpful but not required. We're more interested in finding someone who is organized, dependable, comfortable working with people, willing to learn and able to handle confidential information appropriately.
The HR Coordinator will be the on-site HR presence in our London office, providing day-to-day support to employees and assisting our broader Canadian HR team with HR administration, onboarding, recruitment, payroll and benefits support, training, employee programs and ongoing projects.
This role may be particularly attractive to someone beginning their HR career, returning to the workforce, or looking for a professional HR position with reduced hours.
Schedule
This is a 25–30 hours per week, on-site position based in our London office.
We can offer flexibility in how those hours are structured and are open to discussing a schedule that works for both the successful candidate and the business.
Because an important part of this role is providing accessible HR support to our London employees, regular in-office presence Monday through Friday is required. For example, the schedule could potentially look like five shorter workdays rather than three full days, depending on the successful candidate's availability and operational needs.
What You'll Do
Employee & HR Support
- Serve as an approachable first point of contact for routine HR questions from London employees
- Help employees navigate HR processes, forms, policies and resources
- Direct more complex employee matters to the appropriate HR team member
- Prepare routine employee correspondence, employment letters and HR documentation
- Maintain confidential employee files and records
- Assist with HR data entry, reporting, tracking and general administration
New Hires & Onboarding
- Coordinate the on-site onboarding experience for new London employees
- Prepare new-hire paperwork, orientation materials and welcome packages
- Coordinate equipment, system and facility requirements for new employees
- Track completion of required documentation, policies and training
- Support our Talent & People Lead with recruitment scheduling and candidate coordination
Employee Changes & Offboarding
- Prepare approved pay-rate and employment-change letters
- Coordinate signatures and maintain appropriate documentation
- Ensure approved employee changes are communicated to Payroll
- Coordinate routine resignation and offboarding administration
- Support termination logistics and documentation as directed by senior HR
- Coordinate return of company property and required internal notifications
Payroll, Benefits & Employee Programs
- Provide first-line assistance with routine payroll, timekeeping, benefits and RRSP questions
- Help employees access and complete required forms and direct requests to our Payroll & HR Specialist
- Track safety shoe eligibility and reimbursements
- Assist with education reimbursements and other employee programs
- Coordinate service awards, retirement recognition and employee life-event gifts
- Maintain related tracking and records
Training & Employee Experience
- Coordinate London training logistics, attendance and records
- Support employee engagement initiatives and events
- Assist with employee communications and distribution of materials
- Support PMV and other company-wide people initiatives locally
- Provide administrative support for HR projects and initiatives
What We're Looking For
This is intentionally a junior HR position, so we don't expect the successful candidate to arrive knowing everything.
We're looking for someone who has:
- A diploma or degree in Human Resources, Business Administration or a related area, or equivalent relevant experience
- 0–2 years of HR/administrative experience; new graduates are encouraged to apply
- Strong organization and attention to detail
- Good written and verbal communication skills
- A friendly and professional approach when working with employees
- Good judgment and an understanding of confidentiality
- Comfortable working with Microsoft Office and learning HR systems
- The ability to manage multiple small tasks and follow through to completion
- An interest in learning and developing within Human Resources
